📋 Description

  • • Provide high-level administrative support to senior and executive leadership, including calendar management, travel coordination, and meeting preparation.
  • • Handle expense reports, requisitions, and new hire processes with accuracy and timeliness.
  • • Support special projects involving research, personnel development, and organizational initiatives.
  • • Interact professionally with internal and external stakeholders to build collaborative relationships and ensure positive outcomes.
  • • Prepare and deliver polished PowerPoint presentations for leadership and departmental gatherings.
  • • Manage incoming communications, including phone calls and follow-ups, with appropriate resolution.
  • • Maintain departmental and senior-level organizational charts, lists, and time-clock systems.
  • • Uphold confidentiality when handling sensitive or private information.
  • • Demonstrate strong organizational, time management, and interpersonal skills to solve problems creatively and work effectively in teams.
  • • Exhibit excellent verbal and written communication abilities to engage coworkers, leadership, and external partners.
  • • Take initiative and work independently with minimal supervision.
  • • Balance multiple priorities while adapting to changing business needs and meeting deadlines.
  • • Apply a flexible work approach, including availability for nights and/or weekends when required.

🎯 Requirements

  • • Bachelor’s degree and 5+ years of experience coordinating projects or supporting work at an executive level
  • • OR
  • • 9+ years of experience coordinating projects or supporting work at an executive level
  • • Proven history of maintaining confidentiality with private and sensitive information
  • • Proficiency in Microsoft Office applications (Word, Excel, PowerPoint)
  • • Strong organizational and time management skills with creative problem-solving ability
  • • Strong interpersonal skills and team collaboration across all levels
  • • Excellent verbal and written communication skills for professional interaction
  • • Demonstrated initiative and independent work capability
  • • Ability to manage multiple priorities and adapt to changing business needs
  • • Flexibility to work evenings and/or weekends as needed
