- • This role is designed for a highly discerning and proactive Executive Assistant, tasked with assuming complete command over the inbox and calendar operations for a dynamic and fast-paced executive. The fundamental purpose of this position is to eliminate the executive as an operational bottleneck by meticulously managing their schedule, expertly triaging incoming communications, and consistently making context-aware prioritization decisions on a daily basis.
- • You will be operating within a dense, high-volume professional environment where it is understood that not all meetings or emails carry the same level of importance or urgency. Success in this critical role hinges on your ability to design strategic calendar structures, implement disciplined follow-up systems, and demonstrate the capacity to act independently and decisively without the need for constant instruction or supervision.
- • This position is exceptionally well-suited for a proactive, exceptionally organized, and results-oriented operator who not only thrives under pressure but also possesses a deep understanding of executive leverage and consistently executes tasks with speed, accuracy, and precision. - • Furthermore, you will play a crucial role in preventing scheduling and travel breakdowns before they even have a chance to occur, thereby maintaining a smooth and uninterrupted workflow. You will ensure that high-status stakeholders experience seamless coordination and communication, reflecting positively on the executive and the organization. In high-volume, fast-paced conditions, you will be instrumental in maintaining operational stability and order.
- • You will be an indispensable asset in creating clarity, structure, and unwavering reliability within a demanding and high-stakes executive environment. Your core responsibilities are divided across several key areas, reflecting the multifaceted nature of executive support.
- • Calendar Management & Scheduling (40%): You will own the executive’s calendar end-to-end, expertly managing all aspects of meetings, interviews, executive dinners, crucial stakeholder calls, and strategic planning sessions. This includes designing strategic time blocks that are meticulously aligned with stakeholder importance and the executive's overarching priorities. You will be responsible for enforcing structured buffer rules, such as maintaining 15-minute spacing between appointments every 1–2 hours, to ensure adequate transition time and prevent back-to-back exhaustion. Proactive confirmation, rescheduling, and logistical checks will be a daily part of your routine. Crucially, you will ensure that the calendar structure consistently reflects the executive's prioritization and maximizes their leverage.
- • Inbox Triage & Follow-Up Systems (35%): You will expertly triage high-volume inbox traffic, making informed decisions on whether to respond directly, delegate to the appropriate team member, or escalate to the executive. Emails will be meticulously categorized by priority tiers, distinguishing between senior stakeholders, key partners, internal teams, and other communications. You will be adept at drafting responses that accurately capture the executive’s distinct voice and professional tone. A key responsibility will be tracking all open loops and proactively driving them to successful closure. Maintaining robust and structured follow-up systems is essential to prevent any dropped communication or missed deadlines.
- • Travel & Trip Logistics (15%): You will book all travel arrangements and manage any necessary changes with absolute precision and attention to detail. Coordination of trip logistics will be conducted with a keen awareness of Return on Investment (ROI) and a commitment to operational rigor. Proactive planning and verification will be your primary tools for preventing logistical breakdowns.
- • Operational & Gray-Area Support (10%): This segment involves executing context-heavy tasks that demand independent judgment and a high degree of autonomy. You will be expected to anticipate potential operational breakdowns before they manifest and operate effectively in ambiguous, fast-moving environments where clear directives may not always be present. Your ability to navigate uncertainty and deliver results will be highly valued.
