  • • Provides advanced administrative and operational support to Assistant Vice President(s) within the Logistics organization, managing complex calendars, prioritizing meetings, and resolving scheduling conflicts with high discretion.
  • • Coordinates domestic and international travel arrangements, including itineraries, accommodations, transportation, and expense reporting for executive leadership.
  • • Prepares, edits, and distributes correspondence, presentations, reports, and meeting materials with precision and confidentiality.
  • • Serves as a primary liaison between AVP-level leaders, internal teams, and external stakeholders, ensuring clear and timely communication.
  • • Manages office operations and facilities coordination, including vendor management, service requests, maintenance coordination, and space planning.
  • • Tracks and orders office supplies and equipment, maintains inventory records, and processes purchase orders and invoices for office-related expenditures.
  • • Supports office moves, renovations, and workspace changes in partnership with Facilities teams, ensuring seamless transitions and workplace readiness.
  • • Coordinates workplace logistics such as access permissions, security protocols, and office setup for new hires or relocations.
  • • Assists with onboarding vendor accounts and managing facility-related contracts and service agreements.
  • • May serve as a point of contact for workplace safety programs or emergency response coordination as needed.
  • • Plans and executes leadership meetings, team events, and cross-functional activities, including agenda development, material preparation, and follow-up tracking.
  • • Tracks deliverables, action items, and administrative project timelines to ensure accountability and timely completion.
  • • Processes expense reports and supports budget-related administrative tasks, maintaining accurate financial records.
  • • Maintains organized digital and physical files, records, and documentation in compliance with company standards and policies.
  • • Anticipates executive and operational needs proactively, resolving administrative challenges before they impact productivity.
  • • Works independently with minimal supervision in a fast-paced environment, managing multiple competing priorities with strong time management and organizational skills.
  • • Demonstrates high levels of professionalism, confidentiality, and judgment when handling sensitive information and executive communications.
  • • Maintains advanced proficiency in Microsoft Office Suite (Outlook, Word, Excel, PowerPoint, Teams) to execute all administrative and reporting functions.

🎯 Requirements

  • • High School Diploma or GED and 7 years of relevant experience supporting senior leaders or executives, or any degree/certification beyond HS diploma/GED and 5 years of experience
  • • Strong organizational and time management skills with meticulous attention to detail
  • • Ability to manage multiple priorities and work independently with minimal supervision
  • • High level of professionalism, discretion, and confidentiality
  • • Strong written and verbal communication skills
  • • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint, Teams)
