  • • As an Executive Assistant at Pearl Talent, you will be the indispensable operational backbone for founders, CEOs, and senior leadership teams within dynamic and fast-paced startup environments. This role transcends traditional administrative duties, positioning you as a strategic partner who expertly manages time, systems, and communication. Your primary objective will be to anticipate needs before they arise, ensuring seamless alignment across critical priorities and empowering executives to dedicate their focus to high-level strategy, crucial partnerships, and ambitious growth initiatives. This is a position built on a foundation of high trust and autonomy, ideally suited for an individual who thrives on dissecting and resolving operational challenges and is eager to evolve into Chief-of-Staff-level responsibilities.
  • • Your impact will be profound, directly contributing to maximizing executive leverage through the precise management of their schedules, tasks, and communications. You will be instrumental in building and maintaining robust operational systems that foster enhanced clarity and efficiency throughout the organization. Serving as a central communication hub, you will guarantee that all updates, deliverables, and crucial follow-ups are meticulously tracked and executed, preventing any critical items from falling through the cracks. You will instill a culture of accountability through the implementation of structured processes, effective tools, and proactive problem-solving. Furthermore, you will continuously refine and evolve operational workflows by identifying opportunities for automation and process improvement, driving ongoing efficiency gains.
  • • Core Responsibilities include Executive Support & Communication (35%): You will meticulously manage executive calendars, inboxes, and priorities to ensure peak productivity, with a target of achieving inbox zero. This involves drafting, proofreading, and dispatching professional internal and external communications on behalf of leadership. You will prepare comprehensive meeting briefs, agendas, and detailed follow-ups, ensuring executives are always fully informed and context-ready. Coordinating meetings with diverse internal and external stakeholders across multiple time zones will be a key function. You will manage task lists with a high degree of accuracy, aiming to close over 90% of delegated items within 48 hours. Tracking deadlines, commitments, and action items will be crucial to ensure timely execution. You will maintain proactive oversight of ongoing projects, ensuring their on-time delivery.
  • • Operational Systems & Workflow Management (30%): You will be responsible for maintaining and updating dashboards and documentation within essential tools like Notion, Asana, and other internal platforms. Creating, updating, and refining Standard Operating Procedures (SOPs) will be vital for improving consistency and operational efficiency. You will build structure around recurring workflows through the strategic application of automation and process mapping. Monitoring task completion and actively working to reduce recurring errors or missed deadlines will be a continuous effort. You will streamline recurring workflows and provide support for cross-functional operational processes. Facilitating team communication, managing shared workspaces, and overseeing progress tracking systems will also fall under your purview. You will support broader operations, including vendor coordination and task management.
  • • Calendar, Travel & Administrative Coordination (20%): You will own the complex management of executive calendars, encompassing internal meetings, external calls, and priority-based scheduling. Coordinating and booking all travel arrangements, including flights, hotels, and transportation, with the creation of detailed itineraries, will be a significant part of the role. You will expertly handle inbox triage, flagging urgent messages, drafting appropriate replies, filing emails, and ensuring no critical communication is overlooked. You will support legal and administrative documentation processes, including routing forms, managing signatures, and tracking deadlines. Coordinating personal appointments, reservations, and occasional household/vendor support will also be required. Protecting executive time by adeptly managing schedule conflicts and ensuring adequate focus time will be a priority.
  • • Research, Documentation & Strategic Projects (15%): You will conduct thorough industry, competitor, and market research to provide valuable insights for executive decision-making. Compiling concise briefs, summaries, and actionable insights from this research will be essential. You will manage internal communications, such as weekly team updates and stakeholder notes. Researching new tools and AI automations to enhance operational speed and accuracy will be encouraged. You will support reporting on performance metrics, market trends, and strategic opportunities. Identifying potential issues proactively and proposing effective solutions will be a key contribution. You will also assist with special projects, including light due diligence and business development initiatives.
