  • • Manage complex, high-volume calendars for two Co-CEOs, scheduling meetings with critical internal and external stakeholders within 24 hours of request
  • • Proactively identify and resolve scheduling conflicts while prioritizing meetings aligned with CEO goals and organizational priorities
  • • Coordinate overlapping schedules between both Co-CEOs to maximize efficiency and alignment across leadership activities
  • • Prepare daily and weekly schedule briefings with context, materials, and priority items for each Co-CEO
  • • Respond to time-sensitive communications from the Co-CEOs outside standard business hours, including evenings and weekends, as needed due to executive demands
  • • Plan and coordinate all aspects of executive travel, including flights, accommodations, ground transportation, and detailed itineraries for domestic and international trips
  • • Manage logistics for conferences, board meetings, donor visits, and strategic partner engagements, ensuring seamless execution
  • • Handle expense reconciliation and travel reimbursements in a timely and accurate manner
  • • Prepare pre-travel briefing materials and anticipate logistical needs ahead of executive trips
  • • Serve as the primary professional liaison between the Co-CEOs and internal teams, board members, partners, and external stakeholders
  • • Maintain strict confidentiality and discretion when handling sensitive, proprietary, or personal information
  • • Streamline operational workflows and systems to support executive efficiency and alignment with organizational priorities
  • • Coordinate logistics for leadership meetings, team offsites, and organizational events as assigned
  • • Support cross-functional strategic initiatives and special projects as directed by the Co-CEOs or Chief of Staff
  • • Maintain organized tracking systems for action items, deadlines, and follow-ups across multiple priorities
  • • Assist with Board coordination tasks, including document preparation, scheduling, and communication
  • • Perform personal support tasks as assigned, ensuring seamless executive functioning
  • • Utilize Google Workspace, Slack, Zoom, and other collaboration tools to manage daily operations in a fully remote environment
  • • Leverage AI tools such as Claude and ChatGPT to enhance efficiency in drafting communications, summarizing content, and optimizing scheduling workflows
  • • Adapt quickly to evolving priorities and new systems while maintaining high standards of professionalism and accuracy
  • • Operate on a five-day workweek (Monday–Friday) with a 40–50 hour weekly commitment, reflecting the heightened availability required to support two Co-CEOs

🎯 Requirements

  • • Experience as an Executive Assistant or in a similar high-level administrative role supporting senior executives
  • • Proven expertise managing complex calendars for multiple executives with ability to prioritize across competing demands
  • • Exceptional written and verbal communication skills with ability to draft professional correspondence on behalf of executives
  • • Strong organizational skills and ability to manage shifting priorities in a dynamic, remote environment
  • • Demonstrated ability to handle sensitive and confidential information with the utmost discretion
  • • Proficiency with Google Workspace, Slack, Zoom, and comfort using AI tools like Claude or ChatGPT to improve workflow efficiency
