  • • We are seeking an exceptionally organized, proactive, and detail-oriented Executive Assistant to provide comprehensive, high-level support directly to our Founder & CEO. This is a pivotal role that extends beyond traditional administrative duties; you will function as a critical partner in managing the Founder's daily operations, meticulously maintaining vital investor and partner relationships, ensuring all meetings are maximally productive, and ultimately enabling our Founder to operate at peak efficiency. Your primary objective will be to act as the Founder's trusted gatekeeper and right-hand, anticipating their needs, expertly managing communications, and ensuring that strategic priorities advance seamlessly and without friction.
  • • **Daily Scheduling & Communication Management:** You will be responsible for preparing and distributing concise Start-of-Day (SOD) emails, providing a clear overview of the Founder’s schedule, key priorities, and essential meeting details. A crucial part of this involves proactively identifying and flagging any potential scheduling conflicts, coordinating necessary calendar adjustments with all involved parties, and strategically blocking out dedicated time for heads-down work and personal commitments within the Founder’s calendar to ensure a balanced and productive workflow.
  • • **Inbox & Communication Oversight:** You will meticulously monitor and triage the Founder’s primary inbox throughout the entire business day. This includes drafting professional responses, intelligently delegating messages to the appropriate team members, and ensuring that urgent matters receive immediate attention and resolution. Maintaining a standard of concise, accurate, and professional communication across all channels, acting as a polished representative of the Founder, will be paramount.
  • • **Contact & Relationship Stewardship:** Maintaining and continuously updating a detailed database of all contact records is essential. This involves capturing new leads, tracking investor interactions, and managing relationships with key partners. You will be responsible for logging all follow-up actions, documenting meeting outcomes, and ensuring that no valuable opportunities are missed due to a lack of diligent record-keeping or timely follow-through.
  • • **Follow-Up & Outreach Coordination:** A key responsibility will be to diligently set and track follow-up dates for all critical contacts. This includes sending timely reminders, executing strategic "bump" emails, and closely coordinating with the Founder on high-touch outreach initiatives. You will play an integral role in supporting investor and partner engagement through warm introductions and carefully curated communication strategies.
  • • **Meeting Preparation & Logistics:** You will expertly schedule and confirm all meetings, ensuring precise time zone management to avoid confusion. Crucially, you will provide the Founder with comprehensive pre-meeting briefs, including detailed attendee bios, relevant background context, and clearly defined objectives for each engagement. This also extends to preparing essential documents for internal candidate interviews, ensuring a smooth and efficient hiring process.
  • • **Investor & VC Database Management:** Maintaining an up-to-date and accurate database of Venture Capitalists (VCs) and investors is a core function. You will be tasked with sharing updated lists with founders and other relevant contacts upon request and will coordinate introduction requests, diligently following up with VCs and investors to foster strong relationships and potential opportunities.
  • • **End-of-Day (EOD) Synchronization:** You will conduct a daily End-of-Day (EOD) sync with the Founder to thoroughly recap the day’s meetings, key outcomes, and critical next steps. This session will also involve updating contact records, refining priorities, and making necessary schedule adjustments based on the day’s developments. Furthermore, you will prepare the following day’s meeting briefs and any required schedule modifications, ensuring a seamless transition into the next business day.
  • • **Event & Outreach Support:** You will provide valuable assistance in compiling guest lists and executing outreach for events led by the Founder. This includes coordinating all pre- and post-event communications to ensure successful and well-managed engagements.
  • • **Ad Hoc & Special Project Support:** Beyond the core responsibilities, you will be expected to provide flexible and comprehensive support for a variety of ad hoc tasks. This may include booking flights, arranging complex travel itineraries, and securing accommodations; handling personal and business finances as directed by the Founder; making dinner reservations and coordinating restaurant bookings; running personal errands efficiently; and undertaking time-sensitive research, document preparation, and other special projects as they arise, demonstrating a versatile and adaptable skill set.
