- • Coordinate and manage logistics for Executive Committee (EXCO) meetings, leadership sessions, and recurring business meetings across multiple teams and locations.
- • Organize and plan workshops, offsites, and commercial team sessions involving cross-functional stakeholders, ensuring seamless execution and alignment with strategic priorities.
- • Handle all aspects of meeting logistics including room bookings, catering arrangements, travel, and accommodation for internal and external participants.
- • Support board meeting coordination and governance administration, maintaining accurate records and ensuring compliance with corporate procedures.
- • Perform operational and administrative tasks essential to the smooth functioning of the business, from scheduling to documentation and follow-up.
- • Liaise with internal departments and external partners to align calendars, manage dependencies, and coordinate timelines for high-priority initiatives.
- • Maintain and update operational trackers, action logs, and follow-up systems to ensure accountability and timely delivery of commitments.
- • Identify and implement process improvements through automation tools and AI-enabled solutions to reduce manual effort and enhance team efficiency.
- • Support the Chief of Staff office in enabling strategic execution by removing operational friction and streamlining workflows across departments.
- • Produce professional written communications for senior stakeholders, ensuring clarity, tone, and accuracy in all correspondence.
- • Adapt quickly to shifting priorities in a fast-paced, scaling environment while maintaining high standards of accuracy and professionalism.
- • Take initiative to solve problems independently, navigate ambiguity, and deliver high-quality outcomes without constant oversight.
- • Contribute to building a positive, seamless experience for colleagues and external partners through thoughtful coordination and proactive problem-solving.
- • Assist in evolving the role over time by identifying new areas of impact based on personal strengths and organizational needs.
- • Engage with AI tools such as ChatGPT to automate repetitive tasks and improve operational efficiency across the business.
- • Collaborate with teams across Strategy & Enablement, Commercial, and other functions to ensure alignment and consistency in execution.
- • Support the broader AI transformation journey by championing the adoption of technology to enhance workplace productivity and user experience.
- • Balance a wide variety of responsibilities, from high-level strategic coordination to hands-on administrative tasks like ordering catering or managing expense reports.
- • Work in a hybrid model: three days per week in the London office, with occasional travel to Edinburgh or Bath as required.
- • Contribute to a culture of transparency, inclusion, and experimentation by actively participating in team initiatives and feedback loops.

- • Experience supporting senior leadership or executive teams in a dynamic setting
- • Comfortable using digital tools including Microsoft Suite, Outlook, Slack, Atlassian suite, HubSpot, and AI platforms like ChatGPT
- • Proactive mindset with initiative to automate processes and improve workflows
