  • • You will serve as a trusted advisor and operational backbone to technical leaders, anticipating needs, streamlining workflows, and ensuring seamless coordination across engineering, product, research, and design teams. Your work directly contributes to the scalability of leadership effectiveness in one of the world’s most influential AI organizations.
  • • Day-to-day responsibilities include: managing and optimizing extremely busy calendars for multiple executives with competing priorities; proactively identifying scheduling conflicts and resolving them with diplomatic finesse; coordinating high-stakes cross-functional meetings, workshops, and offsites across time zones and disciplines; preparing and distributing pre-reads, agendas, and action items with exceptional attention to detail; tracking near- and long-term deliverables using project-based tools to ensure accountability and follow-through; operating with discretion when handling sensitive information, including proprietary research, personnel matters, and strategic initiatives; flagging operational risks and inefficiencies before they escalate, and recommending process improvements; building strong relationships across departments to facilitate information flow and collaboration; adapting communication styles to suit diverse audiences — from technical engineers to executive stakeholders — ensuring clarity, tone, and relevance; maintaining mastery of productivity suites including Slack, Google Workspace (Calendar, Docs, Sheets, Gmail), and being eager to adopt new tools that enhance team efficiency; demonstrating independence and task-level ownership while embracing a one-team mindset that prioritizes collective success over individual recognition.

🎯 Requirements

  • • 8+ years of experience in an executive support or administrative business partner role, preferably supporting multiple leaders in complex, fast-paced environments
  • • Proven experience working directly with technical teams (Engineering, Product, Design, and/or Research) in high-growth startups, tech companies, or similar innovation-driven settings
  • • Mastery of modern productivity tools including Slack, Google Calendar, Docs, Sheets, Gmail, and project management platforms, with a track record of optimizing workflows and driving adoption of new tools
  • • Exceptional written and verbal communication skills, with the ability to tailor messages for diverse audiences — from technical contributors to C-suite executives — while maintaining discretion and professionalism
  • • Demonstrated ability to manage extremely busy, dynamic calendars for multiple executives, prioritize competing demands, and adapt swiftly to shifting priorities without sacrificing accuracy or follow-through
  • • Strong independence and task-level ownership, coupled with a proactive mindset for identifying risks, flagging inefficiencies, and implementing process improvements
