- • Provide direct executive support to the Founder by managing daily priorities, scheduling, reminders, workflows, and task tracking across fast-moving initiatives.
- • Draft, organize, and manage professional email communications, meeting recaps, briefing notes, summaries, and internal documentation with precision and clarity.
- • Maintain organized digital files, operational documentation, and resource libraries to ensure seamless access and consistency across teams.
- • Coordinate outbound communications, follow-ups, and scheduling between internal teams, external suppliers, and partner organizations.
- • Support onboarding and training scheduling for supplier partners, ensuring timely communication and alignment on deliverables.
- • Track deadlines, outstanding action items, and project timelines to ensure accountability and consistent execution without constant oversight.
- • Coordinate marketing initiatives including social media scheduling, email communications, presentation preparation, and marketing asset delivery.
- • Collaborate with designers, freelancers, and external marketing partners to ensure timely completion of content and campaign deliverables.
- • Maintain content calendars, publishing schedules, and organized marketing workflows to support brand consistency and operational efficiency.
- • Ensure all written communications are professional, clear, and aligned with the Founder’s voice and organizational standards.
- • Proactively identify workflow inefficiencies and contribute to improvements in operational structure, communication flow, and task management systems.
- • Respond to sensitive or non-standard situations with discretion, professionalism, and prompt action as directed by the Founder.
- • Work exclusively during U.S. business hours (9 AM - 5 PM EST) to align with client time zones and ensure real-time responsiveness.
- • Utilize collaboration platforms including Google Workspace, Slack, Notion, Canva, and CRM systems to manage tasks, communications, and project timelines.
- • Demonstrate exceptional attention to detail, follow-through, and organizational skills across multiple concurrent priorities without loss of quality or timing.
- • Operate independently with high autonomy while maintaining clear accountability and minimizing execution gaps or missed deadlines.
- • Contribute to a culture of structure, responsiveness, and reliability that enables leadership to focus on strategic priorities.
🎯 Requirements
- • Experience supporting executives, founders, or leadership teams in fast-paced environments
- • Background in executive support, project coordination, communications, or administrative roles
- • Proficiency with Google Workspace, Slack, Notion, Canva, and CRM systems
- • Strong written and verbal communication skills with ability to draft professional communications independently
- • Ability to manage multiple priorities with high attention to detail and consistent follow-through
- • Availability to work 9 AM - 5 PM EST daily
