Reporting directly to the Financial Controller, you will play a vital role in keeping our financial processes running smoothly, ensuring accuracy, and supporting teams across the business. This position offers hands-on experience in a fast-paced, dynamic environment, making it an ideal stepping stone for someone looking to build a solid foundation in finance.
  • • **Key Responsibilities:**
  • • As a Finance Assistant, your day-to-day responsibilities will be diverse and crucial to the efficient functioning of the finance department. You will be instrumental in maintaining the integrity of our financial records and supporting various operational needs. Your core duties will include:
  • • **Work in Progress (WIP) Management:** Actively support the management of the WIP list, posting necessary adjustments, and contributing to the continuous improvement of ledger accuracy. This involves meticulous tracking and timely updates to ensure financial data is current and reliable.
  • • **Purchase Order (PO) and Invoice Processing:** Take ownership of raising and managing both project and overhead purchase orders. You will meticulously process incoming invoices, ensuring they are correctly coded and authorised, and manage them through to timely payment, maintaining strong relationships with our suppliers.
  • • **Account Management:** Be responsible for setting up and managing supplier and client accounts. This includes ensuring all necessary documentation is in place, maintaining accurate records, and proactively handling any queries that arise from these stakeholders.
  • • **Client Invoicing and Credit Control:** Prepare and issue client invoices accurately and promptly. You will also play a key role in credit control, working collaboratively with internal teams to resolve aged debt issues and ensure timely collection of payments.
  • • **Balance Sheet Support:** Assist in the preparation of balance sheet reviews, identifying and making necessary adjustments to ensure the accuracy and completeness of financial statements.
  • • **Timesheet Management:** Chase timesheet completion from staff, ensuring all project hours are accurately recorded. You will also run weekly reports for analysis, providing insights into resource allocation and project costing.
  • • **Credit Card Reconciliation:** Manage the reconciliation of company credit cards, processing claim submissions, and ensuring all expenditures are correctly accounted for and authorised.
  • • **New Staff Induction:** Support the onboarding process for new staff by providing clear demonstrations of our timesheet, expenses, and PO systems, ensuring they can navigate these essential tools from day one.
  • • **Client Team Support:** Provide administrative and financial support to client teams, assisting with budgets, supplier setups, and new system implementations, acting as a key point of contact for their financial queries.
  • • **System Support:** Assist with internal and external MediaOcean issues, liaising with relevant teams to ensure smooth operation of our media planning and buying software.
  • • **Audit Assistance:** Support the finance team in preparing for both internal and external audits, particularly at year-end, by gathering and organising necessary documentation.
  • • **Receivables and Payables Oversight:** Ensure the smooth and efficient running of both receivables and payables functions, including market billing processes, contributing to the overall financial health of the agency.

You must be comfortable working independently, demonstrating self-sufficiency, while also being a collaborative team player who can work effectively with colleagues across different departments.   • • **Working Environment:**
  • • We are committed to providing comprehensive training and development plans for all team members. This role is full-time and requires eligibility to work in the UK. We offer a hybrid working model (three days in the office, two days remote) to balance in-person collaboration with flexible working. Our standard working hours are 9:30 – 17:30, with the flexibility to adjust around core hours of 10:30 – 16:30.
