- • Coordinate and execute compliant commercial sponsorship and exhibit requests for the US Foundational Therapeutic Platform Business Unit, ensuring adherence to all internal policies, SOPs, and regulatory requirements.
- • Serve as the primary operational liaison between cross-functional teams including Sales, Legal, Compliance, Procurement, Finance, Analytics, and external agencies to support sales and marketing initiatives.
- • Manage end-to-end processing, tracking, and documentation of sponsorship funding requests, including verification of required documents, approval workflows, exception resolution, and archival of records.
- • Conduct systematic reviews of transactions to ensure data accuracy, compliance completeness, and timely follow-up on outstanding items.
- • Lead process optimization initiatives by analyzing operational reporting, gathering stakeholder feedback, and implementing enhancements to improve efficiency and effectiveness of sponsorship workflows.
- • Act as a subject matter expert on sponsorship systems and processes, delivering formal hands-on training to end-users and providing ongoing guidance to internal and external stakeholders.
- • Participate in audit readiness activities by providing high-quality documentation and responding promptly to audit requests and monitoring requirements.
- • Oversee planning and execution of Tier 2-3 HAE congress logistics, including coordination with professional engagement vendors, marketing partners, and external suppliers for regional and smaller-scale events.
- • Support the FTP BU Congress Lead in developing the annual congress plan and managing ongoing progression of congress activities, including adherence to product theater policies and brand material approvals.
- • Coordinate storage, shipping, and logistics for congress materials and ensure timely delivery to event venues.
- • Assist Professional Engagement Marketers in scheduling HCP engagements at larger marketing-led congresses and contribute to planning of educational content, events, and HCP programs.
- • Attend weekly congress planning calls with vendor partners and provide cross-functional communication support to brand teams and managers.
- • May require limited domestic travel (5%-10%) for conference support, including attendance at events during evenings, weekends, or holidays.
- • Maintain strict confidentiality when handling sensitive operational and compliance-related information.
- • Manage multiple concurrent projects with minimal supervision under tight deadlines while maintaining high standards of attention to detail and process adherence.
- • Foster collaborative relationships with internal teams and external vendors to build a culture of trust, accountability, and operational excellence.
- • Drive innovation by developing compliant, creative solutions to evolving business needs and supporting organizational change through adaptability and resilience.
🎯 Requirements
- • Bachelor’s degree or 3+ years of project management or executive administration/coordinator experience in a highly matrixed organization
- • 3+ years of project management or administrative experience within a regulated industry
- • Extensive working knowledge of MS Word, Excel, PowerPoint, and advanced proficiency in MS Outlook
