- • The Grant Specialist I (Remote) position at Washington University in St. Louis plays a critical role in advancing medical research by ensuring that grant proposals are accurately prepared, compliant with sponsor and university guidelines, and submitted successfully. This role directly supports faculty and research teams in the Department of Medicine, enabling them to secure funding essential for scientific discovery and innovation.
- • The position is integral to the sponsored project lifecycle, bridging pre-award activities with post-award oversight, and ensuring regulatory compliance, accurate reporting, and smooth grant administration—making it a cornerstone of research integrity and operational efficiency within a leading academic medical institution.
- • Day-to-day responsibilities include collaborating with Principal Investigators (PIs) to prepare and submit grant proposals, including budgeting, justification development, and gathering protocol and non-technical components.
- • Serves as a key liaison between faculty, department administrators, and business managers, interpreting federal and university research regulations and ensuring alignment with sponsor requirements.
- • Compiles and validates regulatory compliance data from multiple sources, ensuring all submission materials meet agency and institutional standards before final submission.
- • Enters and maintains grant budgeting documents in university systems, obtains required PI and institutional signatures, and initiates subaward setup via the SUBS system.
- • Coordinates with Post-award units and the Office of Sponsored Research Services (OSRS) to ensure timely contract execution and proper fund setup.
- • Manages award notices, monitors reporting deadlines (e.g., RPPRs), and assists with revised budgets and grant transfers into the university system.
- • Supports research compliance by coordinating internal and external requests for biosketches, trainee records, and protocol approvals.
- • Maintains an online tracking database of grant submissions, awards, rejections, and status updates for reporting and audit purposes.
- • Assists with post-award functions such as resolving accounting issues, managing year-end processes, approving purchasing documents per grant policies, and supporting fund management with PIs.
- • Performs other duties as assigned, adapting to evolving research administration needs within a dynamic academic environment.

🎯 Requirements
- • Bachelor’s degree or equivalent combination of education and experience.
- • Minimum of one year of relevant experience in grant administration, research support, or a related administrative role.
- • Proficiency in Microsoft Office Suite, particularly Excel, and experience with computerized accounting or financial tracking systems.
- • Strong analytical thinking, deadline management, and organizational skills with the ability to manage multiple priorities.
- • Excellent written and oral communication skills for interfacing with faculty, administrators, and external sponsors.
- • Familiarity with Research Management System (RMS), SUBS system, and federal agency guidelines (preferred but not required).
