  • • Proposal / Grant Management: Perform pre-award duties in alignment with specific sponsor guidelines; collaborate with faculty to prepare and submit proposals; manage budgeting, cost analysis, and justification development; gather protocol and non-technical information as needed; serve as a liaison between Chair, faculty, and Department Administrators; stay current on federal and university research administration policies; coordinate submission processes, prepare budgets, and obtain pricing quotes from internal departments; compile and verify regulatory compliance data from multiple sources; work with Principal Investigators to assemble complete grant packages per agency and university standards; prepare and review all required agency forms; enter budgeting data into online systems as required; obtain PI and institutional signatures for submissions; initiate subaward setup via the SUBS system, upload pre-award documents, and transition to post-award teams; coordinate with Post-award unit and OSRS to ensure timely contract and subcontract implementation through SUBS.
  • • Award Management: Provide internal notice of award (NOA) to Sponsored Projects Administration (SPA) and PI, highlighting special terms and committed effort; monitor and assist PI in submitting annual agency reports such as Research Performance Progress Reports (RPPRs); collaborate with Post-Award unit on revised budget requests; oversee and coordinate the transfer of PI grants and contracts into Washington University systems.
  • • Research Compliance: Facilitate internal and external requests for grant-related information including current biosketches, trainee records, and human/animal protocol approvals; ensure all compliance documentation is current and accessible.
  • • Research Reporting: Maintain and update an online tracking database of all grants submitted, awarded, pending, and rejected; generate reports for internal and external stakeholders as needed.
  • • Grant Closeout: Lead the closure of sponsored project accounts; submit final progress reports and invention statements to sponsoring agencies; follow up with PIs to ensure submission of delinquent final technical, outcomes, patent, and property reports.
  • • May assist with post award activities: Monitor sponsored project budgets for appropriate and timely expenditures; reconcile funds and address discrepancies; approve purchasing documents and guide staff on grant-compliant expenses; troubleshoot fund profile setup errors and financial reporting issues; prepare and distribute monthly financial reports to PIs and senior leadership; assist Department Administrators in reconciling funds, monitoring spending levels, identifying overdrafts, and managing cost-sharing commitments.
  • • Performs other duties as assigned, including supporting senior leadership with special projects related to research administration, compliance, or funding strategy.

🎯 Requirements

  • • Bachelor’s degree or equivalent combination of education and experience
  • • Minimum of two years of relevant experience in grant administration, research administration, or a related field
  • • Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, OneNote) and experience with computerized accounting or financial tracking systems
