- • As an HR Operations Specialist at Welltech, you will be instrumental in ensuring the seamless and efficient functioning of our Human Resources operations, primarily focusing on maintaining critical HR data, managing employee records, and overseeing essential HR administration tasks. This role is pivotal in supporting our growing team of Welltechers in Ukraine and contractors across various international locations, contributing directly to the operational backbone of our global organization.
- • You will be entrusted with the meticulous maintenance of our HR Information System (HRIS), ensuring the accuracy, integrity, and confidentiality of all employee data. This includes understanding and regularly updating data categories within the system, and managing access controls and presets within Workday to maintain security and proper functionality.
- • A significant part of your responsibility will involve comprehensive HR administration. This includes the accurate drafting, completion, and organized management of employee and contractor agreements, addendums, and other vital HR documentation. You will also be responsible for the critical task of reviewing, managing, and maintaining military records, ensuring compliance with all relevant regulations.
- • You will act as a custodian of our HR knowledge base, keeping the library of template documents, policies, and vendor agreements current and readily accessible. A key aspect of this role is to proactively identify opportunities for process improvement and automation within daily HR operations, implementing measures to enhance efficiency and reduce manual effort.
- • In the realm of payroll administration, you will play a crucial role in preparing accurate monthly inputs for payroll calculations. This involves collaborating with both local in-house and external outsourced payroll providers, ensuring all changes to base pay, variables, and absence management are processed correctly and within strict deadlines. You will also participate in ad-hoc audits and reconciliations to ensure financial accuracy.
- • Benefits administration is another core function where you will manage employee benefits, encompassing both in-kind provisions and monetary reimbursements. This requires maintaining an up-to-date database for both internal and external use and working closely with the relevant teams to ensure smooth delivery of these benefits.
- • You will serve as a primary point of contact for HR support, offering first-line assistance and partnership to Welltechers. Your advisory role will extend to other stakeholders on a range of HR-related matters, including contracts, onboarding and offboarding processes, absence policies, local HR administration procedures, and documentation. This support will be delivered efficiently through our ticketing system (Jira), email, and direct messaging channels.
- • A vital part of your contribution will be in developing, updating, and maintaining Global HR Operations policies and procedures. This involves incorporating local specifics as required by law and tailoring these documents for diverse audiences, including Talent Acquisition, HR Business Partners, Finance, IT administrators, managers, and fellow HR specialists. Your ability to identify process gaps and propose effective solutions will be highly valued.
- • You will also be responsible for administering and updating our Confluence space, ensuring that all HR operations policies and procedures are current, well-organized, and easily accessible to all relevant stakeholders, thereby fostering a culture of transparency and informed decision-making.
- • Furthermore, you will act as a backup to your colleague supporting our Poland hub, ensuring continuity and comprehensive support across different regions.
