- • Serve as a core operational support resource for a U.S.-based insurance agency, managing administrative, client-facing, and policy-related tasks to ensure seamless agency operations
- • Handle inbound and outbound client communications via phone, email, and SMS, providing professional and responsive support while routing complex inquiries to appropriate team members
- • Perform accurate data entry and maintain up-to-date client and policy records within the agency’s systems, ensuring compliance and data integrity
- • Issue Certificates of Insurance (COIs) promptly and accurately upon client request, adhering to agency protocols and regulatory standards
- • Send insurance applications, policy documents, and other materials to clients using DocuSign or similar e-signature platforms
- • Manage billing-related tasks including sending proof of insurance, resolving minor billing discrepancies, and ensuring timely payment processing
- • Conduct policy endorsements and reviews to verify accuracy, completeness, and compliance with underwriting guidelines
- • Support end-to-end policy documentation workflows to guarantee timely processing and client satisfaction
- • Maintain a high standard of accuracy across all administrative outputs, particularly when handling sensitive client and policy information
- • Work independently in a fully remote environment with minimal supervision, demonstrating proactive problem-solving and self-direction
- • Operate reliably during U.S. Eastern Standard Time business hours (9 AM – 5 PM EST) to align with client and team schedules
- • Collaborate directly with the agency team to uphold operational efficiency and deliver an exceptional client experience
- • Utilize Applied EPIC system extensively for policy management, client records, and workflow tracking
- • Manage high volumes of repetitive administrative tasks with consistent precision and attention to detail
- • Ensure all client communications reflect the agency’s professional standards and commitment to service excellence
- • Maintain confidentiality and data security in handling sensitive insurance documentation and client information
- • Adapt quickly to evolving agency workflows and client needs with minimal ramp-up time
🎯 Requirements
- • Minimum 2–3 years of prior experience working within an insurance agency environment
- • Hands-on experience with Applied EPIC is highly preferred
- • Fluency in Russian is a must-have requirement for this role
- • Demonstrated experience handling insurance documentation including COIs, endorsements, and policy reviews
- • Prior experience with DocuSign or similar e-signature platforms
- • Ability to work reliably during U.S. Eastern Time business hours (9 AM – 5 PM EST)
