Your role is foundational, ensuring every medical records request is meticulously prepared, accurate, and fully compliant before it proceeds through the workflow. This position is designed for individuals who possess an exceptional eye for detail, a proven understanding of legal medical records requests, and the initiative to resolve ambiguities through diligent research and proactive communication. You will operate within a highly structured, process-driven environment where your execution directly impacts the speed, accuracy, and overall quality of our service delivery.
  • • Your primary responsibility will be to ensure the integrity of the medical records request lifecycle. This involves a deep dive into identifying all relevant medical providers associated with a client's treatment. Often, the initial information provided is just the starting point. You will be tasked with going beyond the submitted facility to uncover all entities involved in a client's care. This requires sophisticated research skills, utilizing provider portals, reviewing historical request data, and potentially engaging in direct outreach to confirm details. The accurate documentation and addition of all identified providers into our internal administrative systems is paramount, forming the bedrock of successful retrieval.
  • • A significant portion of your role, approximately 35%, will focus on Request Creation and Quality Control. You will meticulously review incoming Release of Information (ROI) forms, identifying and correcting any missing or inaccurate information. Your goal is to create pristine, error-free base forms before generating the comprehensive submission packets. This involves performing detailed Quality Assurance (QA) checks to guarantee that each request adheres to provider-specific compliance requirements and is complete in every aspect. This rigorous QA process is vital for minimizing rejections and ensuring a smooth downstream process.
  • • Furthermore, you will play a key role in Request Assignment and Workflow Coordination, accounting for about 15% of your duties. Once requests are validated and prepared, you will be responsible for assigning them to the appropriate records team members. This assignment will be based on factors such as current workload and team member utilization, ensuring an efficient and balanced distribution of tasks. You will facilitate a seamless handoff to downstream teams, providing them with clear, complete, and accurate documentation to enable them to proceed without delay.
  • • The remaining 10% of your time will be dedicated to Edge Case Management and Escalation. In any complex process, non-standard situations arise. You will be adept at identifying these non-standard provider requirements or unusual request parameters and escalating them appropriately to supervisors or specialized teams. Your ability to resolve conflicting or missing information through effective coordination with law firm case managers and internal teams will be critical. This proactive problem-solving ensures that even the most challenging requests are handled efficiently and effectively.
