- • As the founding IT Operations Manager at Speak AI Inc., you will play a critical and foundational role in shaping and scaling the company's internal technology infrastructure and operational excellence. This is a unique opportunity to build and lead the IT function from the ground up, establishing best practices and driving strategic initiatives that support our rapid global growth.
- • You will be the primary owner of all day-to-day IT operations, ensuring a seamless and secure technology environment for our distributed team. This includes providing comprehensive technical support to all employees, troubleshooting hardware and software issues, and optimizing device management across macOS and other platforms.
- • A key responsibility will be the management and enhancement of our core IT infrastructure. This encompasses Single Sign-On (SSO) solutions, Google Workspace administration, and Mobile Device Management (MDM) platforms like Kandji, ensuring that all employees have reliable access to the tools and environments necessary for their productivity.
- • You will architect and manage the entire employee lifecycle from a technology perspective, overseeing all global onboarding and offboarding processes. This involves provisioning and de-provisioning access to applications and tools, ensuring a smooth transition for new hires and maintaining security for departing employees.
- • For our San Francisco headquarters, you will be responsible for setting up, maintaining, and troubleshooting Audio/Visual (A/V) equipment in conference rooms and collaboration spaces. You will also provide essential remote support for A/V needs in our non-US offices, bridging geographical gaps.
- • Maintaining an accurate and up-to-date inventory of all hardware and software assets will be crucial. This includes managing the procurement process for new equipment and software licenses, ensuring cost-effectiveness and strategic allocation of resources.
- • A significant focus of this role will be on operating and evolving our IT security program. You will be instrumental in implementing, monitoring, and refining security controls to protect Speak's digital assets. This involves proactively identifying potential threats, responding effectively to security incidents, and ensuring the overall security posture of the organization.
- • You will manage vendor security assessments and play a key role in third-party risk management, ensuring that all external partners meet our security and compliance standards.
- • To foster a security-conscious culture, you will design and deliver engaging security awareness training programs for all employees. This includes conducting regular phishing simulations to test and reinforce employee vigilance.
- • Championing data privacy and compliance is paramount. You will manage the implementation and adherence to data privacy policies and relevant compliance frameworks, such as SOC 2, ISO 27001, and GDPR, ensuring Speak meets its regulatory obligations.
- • You will actively support incident response planning, disaster recovery, and business continuity initiatives, developing robust strategies to mitigate risks and ensure operational resilience.
- • A core aspect of your role will be to build and automate internal tools and processes. You will identify opportunities to optimize workflow processes across the organization, driving efficiency and enabling teams to operate at a faster pace.
- • This involves developing and implementing custom software solutions, scripts, and integrations to automate repetitive tasks, thereby creating significant leverage for the organization and freeing up valuable employee time.
- • You will drive cross-functional collaboration, partnering closely with teams across People Operations, Engineering, Finance, and other departments. Your goal will be to align IT priorities with broader business objectives and ensure a cohesive technology ecosystem.
- • A key skill will be your ability to translate complex technical concepts into clear, actionable insights for non-technical stakeholders, facilitating informed decision-making and fostering understanding across the company.
- • You will be expected to leverage your expertise as an AI user, applying tools like ChatGPT and Claude to enhance productivity, automate tasks, and contribute to innovative IT solutions.
