- • Assist in planning, initiating, and leading assigned projects aligned with Make-A-Wish® America’s strategic initiatives, including coordinating resources, equipment, meetings, and information to ensure timely and budget-compliant project delivery.
- • Independently manage lower-level projects while providing program support for long-term strategic priorities, including analysis, recommendations, external benchmarking, and internal business performance evaluation.
- • Maintain and monitor project plans, schedules, work hours, budgets, and expenses in collaboration with project managers, ensuring deadlines, requirements, and scope are consistently met.
- • Break complex projects into actionable tasks with defined timeframes and track progress against milestones to ensure accountability and on-time completion.
- • Organize, host, attend, document, and participate in project and stakeholder meetings, preparing agendas, presentation materials, and detailed meeting minutes.
- • Create and maintain comprehensive project documentation, including status reports, plans, and records in accordance with established organizational procedures.
- • Oversee the IT department’s fiscal year budget maintenance, including forecasting, actuals, accruals, amortization, and expense planning across all IT areas.
- • Own and maintain core budget tracking tools to ensure timely, accurate, and consistent handling of financial data, documentation, and approval workflows.
- • Log and track monthly actual IT spend, analyzing variances against forecast and budget to identify opportunities, risks, overages, and under-spends.
- • Coordinate contract administration and invoice management for IT expenditures, ensuring alignment with budget, approval processes, and payment timelines.
- • Collaborate with the Finance department to reconcile IT budget data, ensure financial accuracy, and support budget owners with guidance, visibility, and coordination.
- • Ensure year-end spend and forecast goals are achieved through proactive monitoring and reporting.
- • Apply process improvement methodologies to increase efficiency in project coordination and budget management workflows, with willingness to pursue Six Sigma or Lean certifications.
- • Utilize strong organizational skills to prioritize and manage multiple competing deadlines while adapting to shifting priorities in a fast-paced, mission-driven environment.
- • Maintain accurate financial and project records, ensuring compliance with internal policies and external reporting standards.
- • Work remotely from anywhere within the continental U.S., with occasional travel required and flexibility to work outside standard business hours as needed.
🎯 Requirements
- • Bachelor’s degree in Business, Finance, Information Technology, Data Analysis, or equivalent work experience
- • 5+ years of professional experience with 2+ years in project coordination, budget management, or similar role
- • Demonstrated ability to analyze data, develop insights, make recommendations, and support execution of business solutions
- • Strong computer skills in Microsoft Office applications and Smartsheet
- • Experience supporting financial processes such as budgeting, forecasting, contract coordination, or invoice processing preferred
- • Prior experience working in a non-profit organization desired
