  • • Oversee end-to-end operations and experience of Airwallex’s workplace locations, including the San Francisco office and regional hubs in Austin and New York.
  • • Manage all facilities management services to ensure seamless daily operations, compliance with health and safety regulations, and adherence to local laws.
  • • Develop and enforce workplace policies, procedures, and objectives aligned with company standards and regulatory requirements.
  • • Lead the Workplace budget, including operating expenses, and implement cost-effective strategies for space optimization and operational efficiency.
  • • Track and analyze key performance indicators (KPIs) such as in-person attendance metrics and space utilization to deliver actionable insights to leadership.
  • • Establish and maintain vendor relationships with real estate, property management, and food & beverage providers to maximize value and service quality.
  • • Oversee the office Food & Beverage program, ensuring high standards and alignment with employee preferences and budget constraints.
  • • Coordinate all in-office employee events and actively contribute to the Culture Committee to drive engagement and organizational culture initiatives.
  • • Partner with IT, Finance, Security, and HR teams to plan and execute new office-build projects and internal workplace communications.
  • • Provide first-instance support for office equipment and facilities in collaboration with IT, resolving issues promptly to minimize disruption.
  • • Design and manage a scalable guest management system to ensure a warm, professional, and consistent experience for all visitors.
  • • Deliver operational support to the People & Talent team, including assistance with hiring, onboarding, offboarding, benefits administration, and systems administration.
  • • Facilitate onsite candidate interviews and contribute to creating a world-class candidate experience during the recruitment process.
  • • Serve as backup support for People Operations and Talent functions, stepping in on ad hoc projects as needed.
  • • Manage a small team of 1–2 Workplace Experience staff, including a mix of full-time employees and contractors, providing guidance and performance oversight.
  • • Collaborate with global Workplace Experience leads to align local initiatives with international standards and best practices.
  • • Utilize AI tools and digital platforms to enhance efficiency in workplace operations, communication, and data analysis.
  • • Maintain accurate records, ensure punctuality, and demonstrate accountability in all responsibilities with a high degree of organization and attention to detail.
  • • Demonstrate strong customer service orientation and grace under pressure while managing competing priorities in a fast-paced environment.

🎯 Requirements

  • • 5 years in a people-focused role such as workplace experience, employee engagement, office management, facilities, or hospitality events management
  • • 1–2 years of experience managing people, vendors, or cross-functional projects with demonstrated leadership capability
  • • Strong computer skills including experience with Google Suite and Slack
  • • Fluency with budgeting, procurement, and vendor management tools like Pigment, Oracle, AuditBoard, and Ironclad (preferred)
  • • Ability to handle multiple tasks with little or no supervision and prioritize effectively under pressure
  • • Demonstrated ability to deliver high-level customer service and communicate effectively across all organizational levels
