  • • Plan, coordinate, and execute in-person and virtual client and prospect events including industry conferences, webinars, presentations, meetings, and client appreciation events to enhance brand visibility and support business development.
  • • Manage end-to-end event logistics for all event types, including vendor selection, sponsorship opportunities, content development, booth setup, lead generation, and on-site execution.
  • • Oversee attendee data management throughout the event lifecycle—from invitation and registration tracking to post-event campaign analysis and reporting.
  • • Provide onsite support for events including setup of meeting rooms, nametags, promotional materials, gift bags, registration lists, and seating assignments.
  • • Conduct event close-out activities such as vendor and attendee follow-up, financial reconciliation, invoice processing, and ROI metric tracking in Salesforce and marketing automation platforms.
  • • Track and manage event expenditures against approved budgets, ensuring timely reporting and adherence to financial guidelines.
  • • Research and propose new event formats, technologies, and systems to elevate the firm’s events program and improve operational efficiency.
  • • Build and maintain strong relationships with external event vendors, negotiating contracts and ensuring seamless service delivery.
  • • Deliver clear, consistent, and frequent communication to internal stakeholders regarding event strategy, tactics, timelines, and performance outcomes.
  • • Create and distribute marketing collateral, giveaways, and go-to-market resources aligned with brand guidelines and campaign objectives.
  • • Support integrated marketing campaigns through lead management, email marketing, social media coordination, and campaign tracking.
  • • Proactively monitor marketing campaign deadlines and provide regular progress updates to senior marketing leadership.
  • • Collaborate closely with internal creative and marketing teams to ensure all event initiatives align with firm-wide business goals and brand strategy.
  • • Execute Riveron’s participation in external conferences, including sponsorship activation, logistics coordination, and on-site representation.
  • • Support planning and execution of internal leadership retreats and training events, including venue sourcing, agenda development, and on-site logistics.
  • • Produce all event-related materials such as invitations, swag items, and promotional collateral, ensuring brand consistency and strategic alignment.
  • • Track and report on event-specific metrics tied to program objectives, including brand engagement, lead generation, and attendee satisfaction.
  • • Gather post-event feedback, compile insights, and recommend continuous improvements to enhance future event experiences.
  • • Maintain exceptional attention to detail across all event deliverables—communications, registration, onsite execution, and reporting—to uphold Riveron’s professional brand.
  • • Manage budget tracking, invoice reconciliation, and financial reporting to ensure events remain within allocated spending limits.
  • • Foster collaborative relationships with internal teams, external partners, and vendors to ensure successful program delivery and positive attendee experiences.

🎯 Requirements

  • • Bachelor’s degree in Marketing or related field from an accredited university
  • • 3-5+ years of event management experience, ideally in a professional services environment with high-ranking executive or VIP attendees
  • • Flexible to travel 25-50% of the time across the United States for events and conferences
  • • Strong proficiency in Microsoft Office Suite
  • • Experience using CRM and marketing automation tools (ideally HubSpot)
  • • Self-starter with ability to problem-solve independently and manage multiple priorities without frequent oversight
