- • Own end-to-end planning and execution of Intapp’s flagship events including Revenue Kick-Off, Rainmaker Club trip, and Sales Leadership Training, covering venue sourcing, agenda coordination, vendor management, and on-site production.
- • Manage group travel logistics in partnership with travel management companies (TMCs), including airfare coordination, hotel room blocks, and ground transportation for domestic and international events.
- • Administer event budgets with discipline and creativity, delivering high-quality attendee experiences while identifying cost efficiencies without compromising quality.
- • Serve as the primary point of contact for attendees, executives, and internal stakeholders, managing expectations with professionalism across all seniority levels.
- • Partner with full-service event planning agencies for venue sourcing, contract negotiation, and with Destination Management Companies (DMCs) to coordinate on-the-ground logistics, excursions, and attendee experiences.
- • Develop and maintain detailed project plans, run-of-show documents, and communications timelines for each event program.
- • Support planning and logistics for executive advisory board programs, ensuring concierge-level service tailored to high-touch executive audiences.
- • Contribute to Intapp’s flagship conference, Amplify, as part of an integrated events team supporting logistics, attendee experience, and on-site execution.
- • Collaborate cross-functionally with marketing, sales leadership, finance, HR, and executive stakeholders to align event programming with business priorities.
- • Coordinate with internal teams and external vendors to ensure seamless execution across all event touchpoints.
- • Gather post-event feedback from stakeholders and implement improvements to continuously elevate program quality.
- • Maintain proficiency in event management platforms such as Swoogo and Accelevents, and project management tools like Asana.
- • Demonstrate curiosity and willingness to explore how AI can enhance event personalization, attendee communications, and post-event reporting.
- • Travel on-site to events approximately 20% of the time to oversee logistics and ensure flawless execution.
🎯 Requirements
- • Bachelor’s degree in Hospitality Management, Event Management, Marketing, Communications, or a related field
- • 5+ years of experience in event management, with background in hotel operations, incentive travel, luxury hospitality, or high-touch corporate events strongly preferred
- • Proven experience managing group travel logistics with travel management companies (TMCs) and full-service event planning agencies
- • Experience working with Destination Management Companies (DMCs) to coordinate ground operations, excursions, and programming in domestic and international locations
- • Demonstrated ability to manage event budgets under constraint while maintaining high-quality attendee experiences
- • Exceptional interpersonal and stakeholder management skills, comfortable navigating executive-level audiences with grace and confidence
