- • As an Office & Community Coordinator at Clay Labs Inc., you will be instrumental in shaping the in-person experience for our San Francisco office, acting as a vital link between our employees, visitors, partners, and the vibrant community we foster.

Our offices are more than just physical spaces; they are dynamic hubs designed to facilitate communication, connection, and collaborative energy, serving as welcoming destinations for our customers, Claymates, and the broader community.
- • You will play a pivotal role in elevating this experience, working within the Workplace Experience team to push the boundaries of what an exceptional office environment can be, ensuring it scales effectively as we continue our global expansion.
- • Your primary responsibility will be to serve as the welcoming face and operational backbone of our San Francisco office, ensuring every interaction is infused with warmth, professionalism, and genuine care.
- • This role is a fully on-site position, requiring your presence in our San Francisco office five days a week, embodying our commitment to in-person collaboration.
- • **Guest Management Excellence:** You will be the first point of contact, providing an exceptionally warm and professional welcome to all visitors, candidates, partners, and employees. Your ability to create an immediate positive impression will set the tone for their entire experience with Clay.
- • **Community Event Planning and Execution:** You will take ownership of planning and executing a diverse range of engaging community events. This includes workshops, networking sessions, social gatherings, and other initiatives designed to bring our customers, partners, and internal community (Claymates) together in a meaningful way within our SF office.
- • **Visitor and Guest Experience Stewardship:** You will be the go-to person for individuals traveling between our global offices or attending on-site events. Your proactive approach will ensure a seamless and comfortable office experience for everyone, anticipating needs and resolving any issues swiftly.
- • **Proactive Experience Management:** Beyond immediate tasks, you will cultivate an environment of proactive service. This involves anticipating the needs of employees and visitors, swiftly resolving any emerging issues, and ensuring every interaction—whether it's a candidate interview, an executive visit, or a new hire's first day—is smooth, efficient, and positive.
- • **Mail and Package Coordination:** You will manage the efficient logging, sorting, and distribution of all incoming mail and packages. Maintaining an organized package room and a timely delivery system is crucial for smooth office operations.
- • **Building Coordination and Communication:** You will act as a liaison with building management, submitting necessary tickets for maintenance or access requests, and ensuring clear communication regarding any office facility concerns. This includes managing badging and guest access protocols.
- • **Office Safety and Security:** You will contribute to maintaining a safe and secure office environment by ensuring ongoing communication with building management and emergency services, and by diligently managing access controls for guests and employees.
- • **Cross-functional Collaboration:** You will work closely with various internal teams to coordinate services, support events, and ensure the office environment consistently meets the high standards expected by Clay, fostering exemplary service delivery across the board.
- • **Ambassador of Clay Culture:** You will embody and promote Clay's unique culture, which values creativity, collaboration, and a people-first approach. Your positive attitude and dedication will be a key factor in making Clay a truly special place to work and connect.
