  • You will be responsible for the day-to-day management of the office, overseeing all aspects of its functionality. This includes managing office supplies, ensuring the cleanliness and organization of the workspace, and coordinating with building management and external vendors for maintenance, repairs, and services. Your proactive approach will ensure that our office is always a safe, comfortable, and inspiring place to work.
  • A key part of your role will involve managing vendor relationships. You will be the primary point of contact for suppliers of office equipment, catering services, cleaning staff, and other essential services. This includes negotiating contracts, managing budgets, ensuring timely delivery of goods and services, and maintaining positive working relationships to secure the best value for PPRO.
  • You will play a crucial role in supporting our employees and fostering a positive company culture. This includes organizing company events, team-building activities, and social gatherings to enhance employee engagement and collaboration. You will also be responsible for coordinating travel arrangements for employees, including booking flights, accommodations, and ground transportation, ensuring a smooth and efficient travel experience.
  • The Office Manager will also be responsible for managing the reception area and ensuring a professional and welcoming first impression for visitors, clients, and potential employees. This involves greeting guests, managing incoming and outgoing mail and deliveries, and directing inquiries to the appropriate departments.
  • You will contribute to the smooth onboarding process for new hires by preparing workstations, ensuring necessary IT equipment is set up, and providing essential office information. Your attention to detail will ensure that new team members feel supported and integrated from day one.
  • Maintaining and updating office records, databases, and filing systems will be a core responsibility. This includes managing employee records, vendor information, and other important documentation, ensuring accuracy and confidentiality.
  • You will be involved in budget management for office-related expenses, tracking expenditures, processing invoices, and preparing financial reports. This requires a keen eye for detail and the ability to manage resources effectively.

  • This role requires excellent communication and interpersonal skills, as you will be collaborating closely with various internal departments, including HR, IT, and Finance, as well as external partners and vendors. 🎯 Requirements

  • Proven experience as an Office Manager, Administrative Assistant, or in a similar role, demonstrating a strong understanding of office operations and management.
  • Excellent organizational and time-management skills, with the ability to prioritize tasks effectively and manage multiple projects simultaneously.
  • Strong communication and interpersonal skills, with the ability to interact professionally with employees, vendors, and external partners.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and experience with office management software.
  • Proactive and problem-solving attitude, with the ability to anticipate needs and take initiative.
  • Fluency in German and English, both written and spoken.
