- • Oversee the day-to-day operation and maintenance of the NYC office facility to ensure full operational compliance with global standards.
- • Ensure the office remains compliant with all State and Federal regulations, including OSHA and environmental safety requirements.
- • Monitor and maintain all building utilities including HVAC, electrical systems, fiber connectivity, and water supply to ensure uninterrupted functionality.
- • Schedule, coordinate, and supervise all maintenance and repair work performed by internal teams or external vendors.
- • Manage local physical security protocols and safety procedures for employees and visitors.
- • Execute MAC (Moves, Adds, and Changes) tasks for employee workstations, including relocations and equipment adjustments.
- • Maintain accurate inventory of IT ancillary hardware and building materials, ensuring timely restocking and disposal.
- • Manage and update the space management system to optimize office layout and accommodate team growth or restructuring.
- • Assist in planning and executing local office projects, coordinating with IT, HR, Operations, and building management teams.
- • Communicate effectively with senior-level staff to report on facility status, budget concerns, and operational needs.
- • Handle procurement of office supplies and services with strong negotiation skills to achieve cost-effective outcomes.
- • Generate analytical reports on facility usage, maintenance costs, and inventory levels using advanced Excel skills.
- • Maintain a self-motivated approach to task execution with minimal supervision while ensuring high standards of organization and attention to detail.
- • Demonstrate exceptional problem-solving abilities to resolve facility-related issues promptly and efficiently.
- • Exhibit outstanding organizational and time management skills to juggle multiple priorities across maintenance, security, and administrative functions.
- • Communicate clearly and professionally in both verbal and written formats with diverse internal and external stakeholders.
- • Lift and move equipment weighing up to 25 pounds as required for workstation setups and facility adjustments.
🎯 Requirements
- • Bachelor's degree or equivalent professional-level experience
- • 4+ years of experience in Office Management or related functions
- • Knowledge of OSHA and other environmental regulations
- • Knowledge of general maintenance methods, operating requirements, and safety precautions related to facilities management
- • Strong procurement and negotiation skills
- • Strong analytical and reporting skills, with excellent proficiency in Excel
