- • Wagmo Inc. is seeking a Part-Time Office Manager to ensure the smooth daily operation of its New York City Financial District office, playing a vital role in supporting a mission-driven team dedicated to improving pet healthcare through employer-sponsored benefits. This role is essential to maintaining a welcoming, efficient, and well-resourced workplace where employees can focus on their impact.
- • The Office Manager will serve as the onsite operational backbone, responsible for creating a seamless office experience through proactive management of supplies, vendor relationships, facilities, and team logistics, ensuring minimal disruption and maximum readiness for both routine and high-visibility events.
- • Reporting to the Director of People, this role supports a tight-knit, values-driven team that prioritizes radical candor, fearless ownership, and customer-centric innovation, offering the opportunity to contribute meaningfully to a company culture where every individual’s work is seen and appreciated.
- • In this position, you will develop deep operational expertise in office management within a fast-growing startup environment, gaining experience in vendor coordination, facilities logistics, event support, and basic IT/AV troubleshooting—skills that are transferable and highly valued across industries.
- • What the person will do day to day:
- • Own and manage office supplies and pantry inventory, including kitchen, bathroom, and pet-friendly essentials, conducting regular restocking while monitoring usage to prevent waste and avoid overspending.
- • Coordinate the full lifecycle of the weekly team lunch: placing orders with vendors, managing dietary preferences, overseeing setup and cleanup, and ensuring a smooth, enjoyable experience for all participants each week.
- • Maintain general office readiness through light tidying and upkeep, liaising with cleaning vendors to ensure the space remains welcoming, sanitary, and guest-ready at all times.
- • Act as the primary point of contact for office vendors—including internet, cleaning, AV, and facilities—scheduling repairs, tracking service completion, following up on open items, and escalating unresolved issues promptly.
- • Manage mail, package deliveries, and office access logistics, serving as the liaison with building management for access badges, entry issues, and facility-related concerns.
- • Provide first-line IT and AV support for conference room technology, Wi-Fi connectivity, and common office equipment, troubleshooting basic issues and coordinating with vendors when escalation is required.
- • Prepare the office for high-impact events such as board meetings, client visits, and remote team gatherings by coordinating catering, room setup, AV needs, and logistics to ensure everything runs effortlessly and professionally.
- • About the team or company:
- • Wagmo is a female-founded, mission-driven pet healthcare company headquartered in NYC, partnering with employers to deliver comprehensive pet wellness plans, emergency coverage, and 24/7 telehealth services that support both pets and their parents.
- • The company culture emphasizes fearless ownership, radical candor, continuous improvement, and authenticity—values that are actively interviewed for and lived by the team, creating an environment where people are trusted, respected, and empowered to do their best work.
- • What the person can learn or achieve in this role:
- • Gain hands-on experience managing end-to-end office operations in a dynamic, growth-stage startup, building a strong foundation in facilities management, vendor relations, and operational efficiency.
- • Develop problem-solving and proactive communication skills by anticipating needs, resolving issues before they escalate, and contributing directly to team morale and productivity through a well-run workplace.
🎯 Requirements
- • Prior experience in office management, executive assistance, or a similar operational support role.
- • Exceptionally organized with strong attention to detail and consistent follow-through; able to manage multiple tasks without dropping balls.
- • Proactive mindset: identifies issues early and proposes solutions rather than just raising problems.
- • Comfortable serving as the onsite point person with minimal oversight, taking full ownership of the office environment once ramped up.
- • Strong vendor communication skills, capable of managing multiple relationships, tracking open items, and ensuring follow-through.
- • Able to perform basic IT and AV troubleshooting as first-line support (e.g., conference room tech, Wi-Fi, office equipment) and knows when to escalate.
- • Reliable, trustworthy, and discreet, with the ability to handle sensitive operational information responsibly.
- • NYC-based and available to work onsite Tuesday through Thursday.
- • Genuine enjoyment of maintaining a well-run environment, finding satisfaction in details like a stocked kitchen or a smoothly executed team lunch.
- • Familiarity with Slack and basic office tools; communicates clearly and keeps relevant stakeholders informed without over-communicating.
🏖️ Benefits
- • Participation in NYC team events that you support, fostering connection and engagement with the broader Wagmo team.
- • Pet-friendly office environment, allowing you to enjoy the presence of pets in the workplace aligned with Wagmo’s mission.
- • Weekly covered team lunch provided as part of the role’s responsibilities, ensuring you’re included in this team ritual.
- • Flexible, part-time schedule with consistent onsite hours (Tuesday–Thursday), offering work-life balance while maintaining meaningful engagement.
- • Opportunity to work alongside a smart, curious, and kind team led by transparent, low-ego leadership that values collaboration and craftsmanship.
- • Real ownership of a meaningful function within a company that takes its culture seriously, where your contributions are visible, valued, and impactful.
