This pivotal role is designed for an individual who thrives in a fast-paced startup environment, possesses a proactive mindset, and excels at managing diverse responsibilities with a people-centric approach. As the backbone of our operational excellence, you will be instrumental in supporting Cube’s leadership, ensuring the seamless functioning of our office, and driving key initiatives within our people and recruiting functions. This is a unique opportunity to blend traditional administrative support with operational management and hands-on people operations work, contributing directly to the strength of our culture and the growth of our teams.
- • In this multifaceted role, you will be entrusted with providing high-level executive support to senior leadership. This includes meticulously managing calendars, coordinating complex meeting schedules, arranging domestic and international travel, and effectively triaging inboxes to ensure leadership remains focused on strategic priorities. You will also be responsible for drafting, proofreading, and distributing internal and external communications on behalf of executives, ensuring clarity, professionalism, and alignment with Cube’s brand voice. Furthermore, you will play a key role in assisting with event preparation, compiling board materials, and facilitating cross-functional coordination for critical projects, ensuring all stakeholders are informed and aligned.
- • A significant aspect of your role will involve overseeing the day-to-day operations of our office space. This encompasses managing essential supplies, cultivating and maintaining strong vendor relationships, coordinating with facilities management, and handling all day-to-day logistics to ensure a productive and efficient work environment. Your efforts will be crucial in maintaining a welcoming, professional, and highly efficient workspace, catering to both in-office and hybrid work models. You will also be the driving force behind organizing company-wide events, team offsites, and internal gatherings, fostering a strong sense of community and connection among our employees.
- • Beyond administrative and office management duties, you will actively partner with our recruiting team to streamline their processes. This includes supporting candidate communication, meticulously coordinating interview schedules, and managing onboarding logistics to ensure a positive experience for all prospective hires. You will also assist with essential early-stage HR processes, such as conducting new hire orientations, maintaining accurate employee records, and tracking key aspects of the employee lifecycle. Your contributions will extend to supporting employee engagement efforts, facilitating benefits communication, and implementing people programs designed to enhance our vibrant culture and improve employee retention.
- • A key objective will be to help refine and implement scalable people operations processes, systems, and documentation across the organization. This involves identifying areas for improvement, developing standardized procedures, and ensuring that our people operations infrastructure can effectively support our rapid growth. Your work will directly contribute to a positive employee experience, ensuring that our operational needs are met proactively and that our people processes reflect Cube’s core values.
- • Success in this role will be measured by the tangible impact you have on leadership and teams feeling fully supported, with operational needs anticipated and addressed before they arise. You will be instrumental in ensuring that our people operations processes are not just functional but actively contribute to an exceptional employee experience. The office environment will consistently run smoothly, events will be executed flawlessly, and executive workflows will scale effectively under your management. Furthermore, your efforts in recruiting, onboarding, and internal communications will consistently and authentically reflect Cube’s unique culture and core values, reinforcing our identity as we continue to expand.
- • We are looking for a candidate with proven experience in executive support, office or operations management, and a solid exposure to people operations or HR tasks. Exceptional organizational, communication, and project management skills are essential. You must be comfortable handling sensitive and confidential information with the utmost discretion. A demonstrated ability to work independently in a fast-moving, dynamic environment, and the flexibility to pivot between strategic and tactical priorities, is crucial. Experience with HRIS/ATS, scheduling tools, and collaboration platforms is considered a strong plus. We encourage applications from individuals who may not meet every single qualification but believe they possess the drive and potential to excel in this role.
