  • • As an Onboarding Administrator at Bupa, you will play a pivotal role in ensuring a seamless and positive experience for new employees joining our organization or transitioning between roles. This fixed-term maternity cover position, based in our vibrant Salford Quays office, is a fantastic opportunity to contribute to our mission of making health happen for our people and our customers.
  • • You will be responsible for managing the entire onboarding process, from the initial issuance of employment contracts to the meticulous completion of all pre-employment screening activities. Your diligence and attention to detail will be crucial in supporting the successful integration of new talent into the Bupa family.
  • • A key aspect of your role will be to ensure that all onboarding activities are executed within agreed Service Level Agreements (SLAs) and adhere to stringent quality assurance standards. This involves proactive management of tasks and clear communication with all involved parties to maintain efficiency and compliance.
  • • You will meticulously review and verify all necessary documentation required to progress an offer of employment through our HR systems. Accuracy and completeness are paramount to ensure a smooth transition for the candidate and compliance with Bupa's policies and legal requirements.
  • • A core responsibility will be the accurate and compliant issuance of employment contracts. This requires a thorough understanding of employment law and Bupa’s contractual terms, ensuring that all documentation is legally sound and reflects the agreed terms of employment.
  • • You will be tasked with issuing the appropriate documentation and sending out essential links to candidates, guiding them through the next steps of their onboarding journey. This includes providing clear instructions and ensuring they have all the information they need to proceed.
  • • Requesting and managing the initiation of the appropriate screening packages is another vital function. You will liaise with relevant departments or third-party providers to ensure that all background checks, reference checks, and other required screenings are commenced promptly and efficiently.
  • • Maintaining regular oversight of the progress of screening activities through to their successful conclusion is essential. You will need to track the status of each screening component, ensuring timely completion and identifying any potential bottlenecks.
  • • Proactive escalation of any delays or issues encountered during the screening process, using agreed escalation procedures, will be critical. Your ability to identify risks and communicate them effectively will help mitigate potential disruptions to the onboarding timeline.
  • • Establishing and nurturing strong, positive relationships with candidates is at the heart of this role. You will be a key point of contact, dedicated to delivering an outstanding candidate experience that reflects Bupa's values of care and professionalism.
  • • You will proactively make candidates aware of the customer journey, clearly articulating each step and what is required of them. This transparency helps to manage expectations and build trust from the outset.
  • • Keeping candidates consistently informed of their onboarding progress, maintaining regular and proactive contact through various communication channels (email, phone, etc.), is vital for a positive experience. You will be the reassuring voice and guiding hand throughout their pre-employment phase.
  • • This role demands excellent administrative skills, ideally gained within a high-volume transactional environment, where efficiency and accuracy are key. Your ability to manage multiple tasks simultaneously and maintain a high level of organization will be essential.
  • • Experience working within a customer service-focused environment is highly desirable, as you will be interacting directly with candidates and internal stakeholders, ensuring their needs are met with professionalism and empathy.
  • • Clear, confident, and professional communication skills, both written and verbal, are non-negotiable. You will be representing Bupa and need to convey information effectively and build rapport.
  • • Strong stakeholder management skills are required to effectively liave with hiring managers, HR colleagues, and external screening providers. Your ability to build and maintain positive working relationships across different levels of the organization will be crucial for success.
  • • Exceptional organizational skills are a must, enabling you to manage your workload effectively, prioritize tasks, meet deadlines, and perform under pressure in a fast-paced environment.

  • • Proven experience in an administrative role, preferably within a high-volume transactional or HR onboarding environment.

  • • Strong organizational and time-management skills, with the ability to manage multiple priorities and meet deadlines under pressure.
