- • Support day-to-day operational workflows and internal processes across multiple departments to ensure efficient business execution.
- • Coordinate scheduling, calendar management, and meeting organization for leadership and cross-functional teams.
- • Manage timely and professional responses to emails and internal communications via Slack and other platforms.
- • Track tasks, follow-ups, and operational accountability across teams to ensure deadlines and deliverables are met.
- • Maintain and update organizational systems, documentation, and standard operating procedures (SOPs) to support operational consistency.
- • Identify inefficiencies in operational processes and assist in implementing improvements alongside operations and automation teams.
- • Support workflow automation initiatives by contributing to system updates, documentation, and process enhancements.
- • Assist with QuickBooks-related administrative tasks including invoicing, expense tracking, and operational financial record management.
- • Organize and maintain accurate operational reporting systems and internal documentation for financial and operational workflows.
- • Collaborate with leadership and operations teams to ensure alignment on priorities, task completion, and communication standards.
- • Ensure all operational systems remain up-to-date, organized, and accessible to relevant team members.
- • Proactively anticipate operational needs and take initiative to resolve coordination gaps before they impact team productivity.
- • Work exclusively during U.S. business hours (9 AM - 5 PM EST) to align with client and internal team schedules.
- • Adapt to evolving operational demands and support multiple functions including administrative, financial, and communication coordination.
- • Contribute to a culture of accountability, clarity, and efficiency by ensuring clear documentation and follow-through on all assigned tasks.
- • Participate in continuous process improvement by reviewing existing workflows and recommending actionable optimizations.
- • Maintain high standards of attention to detail in all administrative, scheduling, and documentation-related responsibilities.
- • Serve as a central point of coordination for internal communications, ensuring information flows accurately and promptly across departments.
- • Support the scalability of operations by helping structure systems that can accommodate business growth without added friction.
- • Assist in onboarding new team members by providing orientation to operational tools, processes, and communication protocols.
- • Ensure all operational records are consistently updated and accessible for audits, reporting, or leadership review.
- • Deliver high-quality administrative support that enables leadership and operations teams to focus on strategic priorities.
- • Maintain professional and proactive communication with internal stakeholders and external clients as needed.
- • Demonstrate ownership of assigned operational tasks and follow through until completion with minimal supervision.
- • Adapt quickly to changes in priorities, tools, or processes within a fast-paced, growing operations environment.

🎯 Requirements
- • 1–3 years of experience in operations coordination, administrative support, or project coordination roles
- • Experience using organizational and communication tools such as Slack, Google Workspace, ClickUp, or Asana
- • Familiarity with QuickBooks or operational financial coordination
- • Strong organizational and multitasking abilities
- • Excellent written and verbal communication skills
- • Ability to work during U.S. business hours (9 AM - 5 PM EST)
