- • This role is designed for an Operations Coordinator who will play a pivotal role in supporting and enhancing the operational systems that ensure the smooth functioning of Nen Creative on a daily basis. It is an exceptional opportunity for an individual at the early stages of their career who possesses exceptional organizational skills, a keen operational mindset, meticulous attention to detail, and a genuine enthusiasm for developing within a fast-paced, creative startup environment. You will collaborate closely with leadership across various departments, including operations, finance, production, and project management. Your responsibilities will encompass maintaining internal systems, providing support for billing and operational workflows, and contributing to the continuous improvement of the company's operational efficiency as we scale.
- • A significant aspect of this position involves ensuring the consistent and accurate execution of fundamental operational tasks. This includes the timely dispatch of invoices, diligent tracking of vendor payments, meticulous expense monitoring, accurate logging of team hours, and maintaining the overall organization of internal systems. In the initial months, your primary focus will be on thoroughly understanding our existing systems and reliably executing these established workflows. Following this foundational period of 3 to 6 months, you will transition to identifying opportunities and implementing process improvements designed to streamline our operations, enhance efficiency, and bolster scalability.
- • Key responsibilities will include taking ownership of the day-to-day processes of invoice intake, meticulously tracking payments, managing vendor follow-ups, and coordinating reimbursement processes. You will also provide essential support for client invoicing, including A/R follow-up, collections tracking, and overall billing coordination. A critical function will be ensuring that invoices are dispatched promptly and that the status of payments is clearly and consistently tracked. Furthermore, you will help guarantee that vendors are paid in a timely manner and that approval workflows progress without unnecessary delays.
- • You will be responsible for tracking team hours, proactively following up on any missing time entries, and assisting in the reconciliation of logged hours against client agreements. Maintaining the integrity and accuracy of records across key platforms such as Ramp, Gusto, QuickBooks, Monday, and other internal tracking systems will be paramount. Your role will extend to supporting expense tracking, including the collection of receipts, managing company cards, and overseeing reimbursement workflows. You will also contribute to the documentation of Standard Operating Procedures (SOPs) and the ongoing enhancement of repeatable finance and operations processes. A crucial element of your role will be to proactively identify and flag any issues early, such as missing information, delays, inaccuracies, or potential downstream problems, thereby preventing larger complications.

🎯 Requirements
- • 0-2 years of experience preferred, with strong internship experience being highly valued.

- • Comfortable handling recurring operational tasks with consistency and accuracy, managing multiple priorities without tasks slipping through the cracks.
- • Strong written communication skills and comfortable learning and working across various systems and tools quickly.
