Full Job Description
đź“‹ Description
- • Lead the Seattle office’s administrative support team as the Operations Manager, serving as the central hub for brokerage transactional support, HR coordination, local management alignment, and event planning. You will be the go-to problem-solver who keeps 100+ brokers and staff moving seamlessly in a fast-paced commercial real estate environment.
- • Own end-to-end office and compliance management, ensuring every listing agreement, commission file, and disclosure adheres to both Marcus & Millichap corporate standards and state/federal regulations. You’ll design and refine workflows that cut processing time while eliminating errors.
- • Hire, train, develop, and retain a high-performing administrative staff—currently 4–6 coordinators and receptionists—by creating individualized growth plans, running weekly skill clinics, and instituting quarterly performance reviews that tie directly to bonus eligibility.
- • Deliver a white-glove “concierge” level of service to brokers: anticipate their needs, pre-empt bottlenecks, and create self-service resources so they can focus on closing deals instead of chasing paperwork.
- • Orchestrate the full onboarding lifecycle for every new employee and independent broker, from first-day orientation packets and IT provisioning to 30-, 60-, and 90-day check-ins that drive early engagement and long-term retention.
- • Partner with sales management to craft hyper-local sales contests, recognition programs, and KPI dashboards that fuel healthy competition and celebrate top producers. Your creative touches turn routine reports into motivational tools.
- • Serve as the Seattle office’s facilities quarterback—managing moves, remodels, re-organizations, and day-to-day logistics—while interfacing with property management, vendors, and corporate real-estate teams to keep the workspace safe, modern, and on-brand.
- • Plan and execute 8–10 high-impact events annually, including the New Year’s kickoff, mid-year broker recognition gala, summer client appreciation mixer, holiday party, and multiple charitable initiatives that deepen community ties and elevate Marcus & Millichap’s profile.
- • Collaborate across the Texas division and firmwide operations network to share best practices, benchmark performance, and roll out enterprise-wide initiatives—ensuring Seattle remains a top-quartile office for productivity and culture.
- • Champion continuous improvement: leverage Office365, SharePoint, and emerging PropTech tools to automate repetitive tasks, reduce paper usage by 30%, and give brokers real-time access to the data they need.
- • Maintain strict budget discipline—negotiate vendor contracts, track every line item, and present monthly variance reports to local and corporate leadership—while still delivering memorable experiences and flawless service.
- • Model the firm’s core values: integrity, collaboration, and client-first thinking. Your visible leadership sets the tone for an office culture where “no job is too big or small” and every team member feels empowered to excel.
