- • As an Operations Manager at Capita plc, you will play a critical role in ensuring the seamless delivery of HR Admin and Payroll services to educational institutions across the UK, directly supporting schools, academy trusts, and local authorities in maintaining compliant, accurate, and timely workforce operations that underpin the education sector’s stability and effectiveness.
- • You will lead and optimise the performance of HR and payroll service delivery, driving continuous improvement in service quality, workforce capability, and system efficiency while ensuring full adherence to statutory requirements, contractual obligations, and internal policies—making your role essential to the operational integrity of Capita Education’s client-facing services.
- • Your day-to-day responsibilities will include assessing market and regulatory changes to proactively identify opportunities for enhancing service quality, workforce management, and system capabilities, ensuring the team remains agile and responsive to evolving client needs in the education sector.
- • You will lead and manage the workforce strategy by ensuring team members possess the necessary skills, knowledge, and customer-focused mindset, while monitoring performance targets against KPIs and quality standards to guarantee consistent, high-quality service delivery across all HR and payroll functions.
- • You will facilitate regular team engagement through monthly team meetings, daily and weekly check-ins with Team Leaders, providing support, direction, and performance oversight to maintain alignment, motivation, and accountability across distributed teams.
- • You will provide expert support on complex payroll and system queries, leveraging in-depth knowledge of payroll processes and varying terms and conditions across education clients to determine correct actions and escalate to the appropriate technical or operational teams when needed.
- • You will maintain end-to-end oversight of all active onboarding projects, managing progress, mitigating risks, and ensuring clear client communication, while participating in internal project calls to coordinate efforts and liaise with clients as required.
- • You will ensure that all Local Authority and locally agreed changes to Terms and Conditions are accurately interpreted, implemented on time, communicated to relevant teams, and applied in full compliance with statutory and contractual requirements, minimising risk and ensuring audit readiness.
- • You will attend and actively participate in client review meetings, ad hoc engagements, and client events—both virtual and face-to-face—while supporting the People Partnering Team in delivering joint training sessions to clients, strengthening relationships and service transparency.
- • You will operate in a high-pressure environment, demonstrating resilience and effective prioritisation to manage competing demands, tight deadlines, and sensitive employee queries with empathy and professionalism.
- • You will bring essential payroll expertise and a proven ability to manage complex HR administrative processes, with desirable experience in the educational sector enabling faster integration and deeper client understanding.
- • You will exhibit strong time management skills, consistently meeting deadlines and balancing multiple priorities while maintaining a supportive, empathetic approach when colleagues or clients reach out with payroll or HR-related concerns.

- • Essential: Proven payroll background with in-depth knowledge of payroll processes, statutory requirements, and varying terms and conditions across client groups.
- • Essential: Ability to perform effectively in a high-pressure environment, managing competing priorities, tight deadlines, and sensitive employee or client queries with resilience and professionalism.
- • Essential: Strong time management and organisational skills, with a track record of meeting deadlines and prioritising tasks efficiently in complex operational settings.
- • Desirable: Experience working within the educational industry, including familiarity with school, academy trust, or local authority HR and payroll structures.
- • Desirable: Experience in workforce strategy, team leadership, or performance management, including setting KPIs, monitoring team performance, and fostering a customer-focused culture.
