As an Order Management Coordinator, you will play a pivotal role in ensuring the seamless and accurate processing of customer orders, directly contributing to our mission of providing educators with powerful tools and supporting student success.
  • • In this critical role, you will be the central point of contact for managing the entire lifecycle of customer orders, from initial receipt to final processing. Your primary responsibility will be to meticulously monitor, reconcile, and process all incoming purchase orders, ensuring that every transaction is handled with the utmost accuracy and efficiency. This involves a deep dive into order details, cross-referencing information against various documents to guarantee data integrity and customer satisfaction.
  • • A key aspect of your role will be maintaining the accuracy and consistency of order data within our Customer Relationship Management (CRM) system, Salesforce. You will be responsible for entering and updating order information, ensuring it aligns perfectly with our Finance database. This rigorous data management is crucial for maintaining clear financial records and providing accurate insights into sales performance.
  • • You will act as a vital liaison, establishing and nurturing strong working relationships with key internal departments, including Sales, Operations, Finance, and Partner Success. Your ability to communicate effectively and respond promptly to the needs of these teams, as well as directly to customers, will be paramount to your success. This collaborative approach ensures that all stakeholders are informed and that any order-related issues are resolved swiftly and effectively.
  • • The Order Management Coordinator is tasked with validating and processing all new and renewal customer orders with precision. This includes reconciling incoming orders against price quotes, customer credits, contracts, checks, and credit card authorizations, ensuring that all financial and contractual obligations are met. Your attention to detail will be key in identifying and resolving any discrepancies or issues that may arise, thereby safeguarding the quality of all completed orders.
  • • You will be instrumental in partnering with the Sales Team to meticulously reconcile any inconsistencies found in purchase orders, ensuring that all documentation is accurate and compliant. Furthermore, you will be responsible for compiling and announcing a daily summary of closed, new, and renewal sales revenue to the entire company, providing valuable real-time insights into business performance.
  • • Proactive monitoring of daily reports and individual queues will be a significant part of your responsibilities. This allows for the early identification of potential escalation needs, enabling you to communicate effectively with other teams to resolve issues before they impact customers or internal operations. You will also ensure that customers receive all necessary documentation, such as sole source letters and vendor registrations, facilitating smooth procurement processes.
  • • To excel in this role, you will need to stay continuously updated on Amplify’s diverse range of products, services, and pricing structures. This knowledge base is essential for accurately processing orders and answering customer inquiries. You will also collaborate closely with fellow Order Management Coordinators, actively participating in identifying and sharing best practices, and contributing to the development and improvement of our order processing methodologies.
  • • This role offers a unique opportunity to work alongside various teams within the Sales organization on special projects, contributing to broader departmental goals. You will also be expected to communicate with customers on an as-needed basis to resolve any order inaccuracies, ensuring a positive and professional customer experience at all times.
