This role is centered around delivering a patient-centered experience, primarily through SMS and phone conversations, facilitating a smooth transition from initial inquiry to a scheduled consultation.
  • • This is a full-time, on-call position that demands consistent availability during your assigned working hours. Prompt and responsive communication is paramount, as you will be the first line of contact for new patient inquiries. Your ability to demonstrate empathy, maintain a high level of responsiveness, and make patients feel genuinely cared for from the outset will be key to your success. You will be instrumental in setting the tone for the patient's entire experience with the practice, contributing directly to patient satisfaction and retention.
  • • Your day-to-day responsibilities will involve managing inbound communications with efficiency and care. You will respond promptly to all SMS and phone inquiries, ensuring no prospective patient feels overlooked. You will then lead warm, empathetic intake conversations, taking the time to deeply understand each patient's unique needs, goals, and concerns. This understanding is vital for accurately assessing their suitability for the services offered and for providing relevant information.
  • • Once the initial needs are understood, you will expertly schedule consultations using Calendly and internal scheduling systems, ensuring that appointments are booked efficiently and accurately. A critical part of this role is the meticulous capture of patient details and comprehensive notes within CRM and EMR platforms. Maintaining the integrity and accuracy of this data is essential for seamless patient management and continuity of care. You will also be responsible for conducting timely follow-ups, nurturing patient engagement, and proactively supporting them in completing their scheduling process. This proactive approach helps to minimize drop-off rates and ensures patients move forward with their healthcare journey.
  • • Maintaining organized documentation is a non-negotiable aspect of this role. You will ensure all patient information is handled with the utmost confidentiality and that data accuracy is maintained at all times, adhering to strict privacy protocols.
