- • Process biweekly payroll for approximately 230 exempt and non-exempt employees across multiple U.S. states using Rippling, ensuring compliance with state-specific timing requirements including California final pay rules
- • Manage off-cycle payrolls, termination pay, and manual payroll adjustments with precision and adherence to regulatory standards
- • Audit payroll registers for accuracy prior to submission, investigate and resolve discrepancies in wages, deductions, or hours
- • Administer garnishments, wage assignments, and involuntary deductions in accordance with legal requirements
- • Maintain secure and organized payroll records and respond to employee payroll inquiries with discretion and accuracy
- • Ensure timely and accurate filing and remittance of federal, state, and local employer payroll taxes across all active jurisdictions
- • Manage new state and local tax registrations as Vynca expands into additional markets
- • Reconcile payroll tax liabilities, respond to tax notices, and coordinate with tax authorities during audits or inquiries
- • Maintain compliance with W-2 and ACA reporting requirements and lead year-end payroll close processes
- • Stay current on evolving employer tax laws across all operating states, with focused attention on California-specific regulations
- • Own the full lifecycle of business licenses, operating permits, and fictitious business name filings across all states and localities where Vynca operates
- • Track and proactively manage renewal deadlines for all business licenses to ensure continuous legal compliance
- • Research and fulfill new licensing requirements when entering new geographies or service lines
- • Maintain a centralized digital inventory of all business licenses and supporting documentation
- • Partner with Legal and Finance teams on annual report filings and registered agent maintenance
- • Serve as the primary subject matter expert and power user for Rippling’s payroll and tax configuration modules
- • Identify, design, and implement process improvements to enhance accuracy, efficiency, and auditability of payroll and licensing workflows
- • Develop and maintain detailed internal documentation, standard operating procedures (SOPs), and control frameworks for payroll and business licensing operations
- • Support internal and external audits by providing accurate records, reports, and documentation on request
- • Collaborate cross-functionally with People Operations, Finance, Legal, and clinical operations teams to ensure seamless operational alignment
🎯 Requirements
- • 3+ years of multi-state payroll processing experience, including California
- • Solid working knowledge of federal and state employer payroll tax obligations and filing requirements
- • Experience with business license administration or willingness to own it fully
- • Proficiency with a modern HRIS/payroll platform; Rippling experience strongly preferred
- • High degree of accuracy and attention to detail; comfortable working with sensitive compensation data
- • Strong organizational skills with the ability to manage competing deadlines in a fast-moving environment
