📋 Description
- • Run end-to-end onboarding for every new hire across San Francisco, Singapore, and Zürich offices, ensuring a warm, personalized welcome from offer letter to first day
- • Coordinate international hires and contractor onboarding in partnership with local legal and compliance advisors
- • Manage visa and immigration cases alongside immigration counsel, acting as the primary point of contact to guide employees through complex processes
- • Administer day-to-day benefits operations, including enrollment, changes, and annual renewals for medical, dental, vision, and fertility benefits
- • Maintain accurate and up-to-date HRIS data, ensuring all employee records are current and compliant
- • Design and implement trackers, runbooks, and scalable systems to prevent operational chaos as the company grows
- • Support compliance initiatives including handbook updates, I-9 verifications, SOC 2 requirements, and board consent documentation
- • Plan and execute offsites, company-wide parties, and team events designed to foster connection and elevate employee experience
- • Serve as the primary point of contact for employees, vendors, and legal counsel, delivering clear, warm, and timely communication
- • Proactively identify and resolve gaps in people operations processes without waiting for direction
- • Continuously seek opportunities to improve the employee experience through small enhancements and systemic improvements
- • Ensure all people operations activities align with local employment laws and global compliance standards
- • Act as a trusted steward of sensitive employee information with strict discretion and ethical judgment
- • Collaborate directly with the People Lead, founders, and Chief of Staff to align people operations with company growth objectives
- • Build a culture of belonging by ensuring every new hire feels welcomed, supported, and excited about their journey at Exa
- • Track and optimize key people metrics to inform operational decisions and enhance scalability
- • Balance structure and empathy in every interaction, recognizing when process must adapt to human needs
