  • • You will own the coordination and administration of critical People Operations functions, including end-to-end onboarding processes, meticulous maintenance of employee records, and comprehensive recruiting coordination support. This means you'll be the go-to person for ensuring candidates transition flawlessly into new hire status, orchestrating detailed onboarding schedules, and guaranteeing that every step of this crucial process is executed with precision and care.
  • • Your role is vital in maintaining the integrity and accuracy of our People systems, documentation, and workflows.   • • Delivering an unparalleled candidate experience will be a top priority. You will be the driving force behind managing interview scheduling, candidate communications, and all related logistics. Your responsibilities will include maintaining the integrity of our recruiting systems, proactively identifying opportunities for improvement and efficiency gains, and ensuring a seamless, positive process from initial contact through to the offer stage.
  • • As a trusted partner, you will guide candidates through the entire interview journey, providing clear, consistent communication, unwavering professionalism, and genuine warmth at every touchpoint. You will also serve as a welcoming presence for candidates and guests, ensuring that every interaction embodies Firestorm's values and vibrant culture.
  • • **Key Responsibilities include:**
  • • **Onboarding Excellence:** Coordinate and execute end-to-end onboarding activities for all new hires. This includes managing offer documentation, processing I-9 forms, and scheduling new hire orientation sessions. You will prepare and maintain accurate employee records within our HR systems and personnel files, ensuring all documentation is completed accurately and submitted on time.
  • • **Program Development & Refinement:** Execute comprehensive onboarding programs, including orientation sessions, training schedules, and introductions to key team members. You will continuously evaluate and refine these processes to enhance the new employee experience, making their integration into Firestorm as smooth and engaging as possible.
  • • **Employee Engagement Support:** Assist with the organization of local employee engagement activities, meetings, and company-wide events. You will partner closely with internal stakeholders to deliver a best-in-class experience for our team, embodying a passion for delivering a consistent, stellar employee experience.
  • • **Operational Rigor:** Ensure personnel records and processes align with internal policies and legal requirements. Maintain the confidentiality of all employee data and People Operations matters with the utmost discretion. Assist with reporting, data audits, and process documentation, supporting the broader People Ops team with administrative tasks, projects, and continuous process improvements.
  • • **Compliance & Learning:** Stay current on relevant employment laws and regulations to ensure compliance in all HR practices. You will also crosstrain in areas such as workplace injury response, workers' compensation, learning management system administration, and performance management workflows, broadening your expertise.
  • • **Recruiting Coordination Mastery:** Be the primary point of contact for candidates, recruiters, and hiring teams, maintaining clear, timely communication and ensuring the recruitment process flows smoothly from first contact through offer acceptance.
  • • **Interview Logistics:** Navigate complex interview calendars and dynamic schedules with precision, ensuring interviews are set up efficiently and without conflicts. You will serve as the on-site host for interview days, managing candidate schedules, providing hospitality, and ensuring every candidate leaves with a positive and lasting impression.
  • • **Process Improvement:** Identify opportunities to enhance operational efficiency and improve systems, workflows, and communication touchpoints throughout the recruitment process. You will proactively seek ways to improve the interview process and systems, identifying bottlenecks and enhancing both candidate experience and scheduling efficiency.
  • • **Relationship Building:** Build trusted relationships with recruiters, hiring managers, and candidates, becoming a reliable partner who drives consistency, efficiency, and excellence across the entire candidate experience.
  • • **Brand Representation:** Act as a welcoming presence for all candidates, managing check-ins and ensuring a seamless handoff to their interview hosts, all while reflecting Firestorm's professionalism and core values.
  • • **Event Support:** Collaborate closely with the People team to plan and support on-site recruiting events, interviews, and special projects, contributing to the overall success of our talent acquisition efforts.
