- • Serve as the connective tissue between product, engineering, clinical, operations, and marketing teams—translating strategy into action by owning the processes, tools, and systems that keep everyone aligned and moving fast.
- • Own and continuously improve the end-to-end product operations playbook: intake, prioritization, requirements, release planning, testing, launch, and post-launch optimization—ensuring nothing falls through the cracks and every release maximizes patient impact.
- • Partner with clinicians, engineers, and operators to translate complex clinical workflows into clear, actionable product requirements and user stories that prioritize patient safety, privacy, and seamless experience.
- • Create and maintain a living library of product documentation—PRDs, release notes, process guides, and training materials—so every stakeholder knows what’s shipping, why it matters, and how to use it.
- • Coordinate release readiness across QA, clinical validation, regulatory, and go-to-market teams; maintain a transparent release calendar and run weekly stand-ups to surface risks early and keep launches on schedule.
- • Configure and optimize third-party tooling (Intercom, Typeform, Jotform, Segment, Zapier, etc.) to power patient messaging, appointment scheduling, intake forms, automations, and data collection—turning manual tasks into scalable workflows.
- • Build dashboards and reports that track KPIs like patient wait times, clinician efficiency, conversion rates, and feature adoption; translate data into insights that guide roadmap decisions and continuous improvement.
- • Identify operational gaps—whether it’s a handoff between teams, a missing alert, or an unclear SOP—and design lightweight, repeatable processes that improve quality without adding bureaucracy.
- • Act as the “air-traffic controller” during high-stakes launches: orchestrate user-acceptance testing, coordinate rollback plans, and ensure clear, empathetic communication to patients and providers if issues arise.
- • Champion a culture of experimentation and learning: run retros, capture lessons learned, and iterate on playbooks so each cycle is faster, smoother, and more patient-centric than the last.
- • Collaborate with legal and compliance to ensure every workflow meets HIPAA, FDA, and state telehealth regulations—translating redlines into actionable engineering tasks.
- • Translate mission-driven goals into measurable operational milestones; present findings to senior leadership and influence roadmap priorities with data-backed recommendations.
- • Foster psychological safety across remote teams by facilitating inclusive planning sessions, clear documentation, and transparent decision logs—ensuring every voice is heard, especially clinical and patient-care perspectives.
- • Stay ahead of industry trends in digital health operations, bringing best practices back to Hey Jane to keep our systems and processes best-in-class.
