- • The Property Utility Specialist is responsible for the end-to-end management of utility billing, onboarding, and invoice processing for one of Extenteam’s clients, ensuring utilities are properly onboarded, bills are processed accurately, autopay/e-billing is implemented, and all related systems and controls are maintained with integrity.
- • Day-to-day responsibilities include receiving and processing utility invoices, entering them into property management software (e.g., AppFolio) with correct GL accounts and property codes, maintaining utility account logins, providing daily End-of-Day reports to supervisors, assisting with autopay and e-billing setup, supporting utility onboarding for new or transitioning properties, documenting onboarding steps, resolving invoice anomalies, and adapting to evolving workflows due to jurisdictional or process changes.
- • Extenteam is a dynamic, scaling-stage startup revolutionizing the short-term vacation rental industry by transitioning from a professional services model to a scalable tech-based subscription-first model, aiming to double Monthly Recurring Revenue (MRR) by January 2026 through its AI-assisted SaaS platform, Tailwind, and a global team of 50 core members supported by 400+ Dedicated Team Members (DTMs) across hubs in Miami, LA, Medellin, and expanding into Europe.
- • In this role, the individual will develop deep expertise in utility management within real estate operations, strengthen process-oriented and detail-driven workflows, gain hands-on experience with property management software like AppFolio, enhance cross-functional collaboration with Accounting and Treasury teams, and contribute directly to operational scalability and financial accuracy in a fast-paced, innovation-driven environment.
🎯 Requirements
- • At least 2 years of experience in utility billing, invoice processing, or property-management accounting
- • Proficiency in Microsoft Office (Excel, Word, Outlook) and ability to learn new systems quickly
- • Experience managing passwords/logins securely using tools like Keeper Security or similar
- • Strong sense of ownership and proactive communication — immediately reporting any problem or barrier to the appropriate supervisor
- • Attention to detail and process-oriented mindset with a proven track record of accurate data entry, following checklists, and meeting deadlines (e.g., zero open items by EOD)
- • Prior experience using AppFolio or similar property management accounting software is advantageous
