  • • Represent the Alight brand positively to clients, employees, and guests through professional conduct and service.
  • • Communicate directly with external contractors and vendors to address facility needs, resolve issues, and coordinate service delivery.
  • • Identify opportunities to optimize facility operations, create efficient processes, and reduce operational costs.
  • • Collaborate with Third-Party Security, Data Privacy, Finance, Legal, HR, and business leaders to align and streamline processes that intersect with the Real Estate Team.
  • • Oversee building installations, refurbishments, and renovations, ensuring timely execution and compliance with standards.
  • • Manage daily office operations including distributing notices, coordinating meetings with catering and conference room bookings, assisting with employee travel arrangements, ordering office supplies, and processing mail.
  • • Support front office reception and switchboard responsibilities as needed.
  • • Conduct regular inspections of interior and exterior building areas to assess cleanliness, safety, and conservation, and develop action plans for improvements.
  • • Assist in implementing and monitoring preventative maintenance programs to minimize equipment failure and extend asset lifespan.
  • • Ensure all facility operations comply with safety standards, cleaning procedures, and industry best practices.
  • • Oversee maintenance and repair activities for mechanical, electrical, plumbing, and other technical systems in accordance with established protocols.
  • • Handle general accounting tasks including vendor documentation for creation, invoice processing, and follow-up with Accounts Payable on payment inquiries.
  • • Provide Real Estate and technical support during new facility startups, renovations, or relocations in coordination with cross-functional teams.
  • • Supervise onsite building contractors during installation or refurbishment projects.
  • • Coordinate facility services across multiple locations as required by business needs.
  • • Maintain strong relationships with landlords, vendors, and internal service providers (e.g., housekeeping, pest control) to ensure consistent property upkeep and enhancements.
  • • Document and manage knowledge, tools, and procedures to support optimal site management and operations.
  • • Collaborate with the Facilities Business Leader to assist in developing annual budgets and forecasts.
  • • Assist in conducting market analysis and comparative evaluations for services, materials, and equipment used in site operations.
  • • Work full-time in-office at the designated location as required by business needs.

🎯 Requirements

  • • Bachelor’s degree in Facility Management, Engineering, or a related field.
  • • Minimum of 1-2 years of experience in the current role or 4-5 years as a Senior Facility Administrator.
  • • Knowledge of facility management services and technical aspects of building systems is advantageous.
  • • Flexibility to work shifts or adjusted working days as per business requirements.
  • • Full-time, in-office work arrangement required.
  • • Proficiency in Excel, email, and basic computer systems.
