- • As a fully remote Receptionist based in Germany, you will be the first point of contact for ProPharma Group's clients and customers, embodying professionalism and providing a welcoming, efficient service.
- • Your primary responsibility will be managing the multi-line phone system, ensuring all incoming calls are answered promptly, professionally, and with a friendly demeanor. You will expertly route calls to the appropriate individuals or departments, adhering strictly to established company procedures.
- • Beyond call handling, you will manage incoming email communications, ensuring they are accurately routed to the relevant personnel in a timely fashion, maintaining seamless internal and external communication flow.
- • This role extends to providing crucial support for client audits, ensuring that all necessary administrative tasks are handled with precision and efficiency to facilitate a smooth audit process.
- • You will offer comprehensive administrative support to the office, undertaking delegated tasks as assigned by your Manager, contributing to the overall smooth operation of the team.
- • In addition to core reception duties, you will provide essential overflow support for the medical information services. This will involve taking detailed messages from callers, accurately capturing all necessary information as delegated by the Manager, ensuring no critical information is lost.
- • A key aspect of your role will be maintaining a consistently high level of quality across all job functions. This involves meticulous attention to detail and a commitment to excellence in every task undertaken.
- • You will independently ensure that all assigned tasks are completed within the deadlines specified in the Company's Standard Operating Procedures (SOPs) and Working Practices, demonstrating strong time management and organizational skills.
- • As directed by your Manager, you will actively participate in the development and maintenance of processes designed to ensure the delivery of high-quality work. This may include updating check sheets, instructions, and other essential documentation, contributing to continuous improvement.
- • A solid working knowledge of, and strict compliance with, ProPharma's Standard Operating Procedures is paramount. You will be expected to understand and follow all company policies and guidelines.
- • You will conduct yourself in a professional manner at all times, interacting positively and effectively with clients, customers, team members, and management.
- • Adherence to the Company’s Health and Safety Policies is mandatory, ensuring a safe working environment for yourself and others.
- • Maintaining the strictest confidentiality is essential. You will rigorously adhere to the Confidentiality Statement within your Contract of Employment, safeguarding all data and property belonging to ProPharma, its clients, and its employees.
- • You will ensure that any confidential information or personal data related to ProPharma and its clients is managed in strict accordance with Data Privacy regulations, as detailed in ProPharma's SOPs, upholding the highest standards of data protection.
- • You will contribute to the team by supporting the training of new team members as required, sharing your knowledge and experience to foster a collaborative and supportive work environment.
