  • • Own end-to-end interview scheduling for all open roles, managing complex multi-stage hiring loops with precision and responsiveness.
  • • Serve as the primary point of contact for candidates, ensuring a clear, professional, and thoughtful experience at every stage of the recruitment journey.
  • • Act as the sole day-to-day administrator of Ashby ATS, maintaining accurate pipeline data, updating candidate stages, and ensuring system integrity across all hiring teams.
  • • Build and maintain reporting dashboards that track key recruiting metrics including time-to-fill, pipeline health, and sourcing channel performance to inform data-driven decisions.
  • • Partner with the VP of People and Director of Talent to document, standardize, and continuously improve recruiting processes, including interview plans, evaluation templates, and candidate workflows.
  • • Develop and maintain Notion-based documentation to ensure consistency, scalability, and knowledge sharing across the Talent team and hiring managers.
  • • Identify gaps in recruiting workflows and proactively implement new tools and integrations, including Rippling, background check platforms, and assessment systems as the company scales.
  • • Coordinate offer logistics, including counteroffer negotiations, background check initiation, and pre-boarding communications to ensure seamless candidate transitions.
  • • Maintain alignment between hiring managers, interviewers, and candidates by proactively flagging delays, miscommunications, or bottlenecks before they impact timelines or experience.
  • • Contribute to the design and refinement of candidate-facing communications, job descriptions, and outreach materials to elevate Pivotal Health’s employer brand.
  • • Support onboarding coordination by liaising with HR and IT teams to prepare new hires for their first day, ensuring all systems, equipment, and documentation are in place.
  • • Monitor data inconsistencies within the ATS and take ownership of resolving errors to preserve the reliability of recruiting analytics and forecasting.
  • • Act as a process innovator—not just an executor—identifying opportunities to automate, simplify, or enhance recruiting operations to reduce administrative friction and improve efficiency.
  • • Represent Pivotal Health with professionalism and authenticity in all candidate and stakeholder interactions, reinforcing a culture of respect, transparency, and care.

🎯 Requirements

  • • 2–4 years of experience in recruiting coordination, recruiting operations, or a similar role in a fast-paced environment
  • • Hands-on experience with an ATS (Ashby preferred; Greenhouse, Lever, or equivalent accepted)
  • • Highly organized with strong attention to detail and a track record of following through on complex, multi-threaded tasks
  • • Clear, professional communication skills to represent the company to candidates and internal stakeholders
  • • Data-literate: ability to pull reports, analyze inconsistencies, and ask probing questions to improve processes
  • • Comfortable operating in ambiguity and excited to build systems and processes that do not yet exist
