- • Own the end-to-end interview scheduling process for all North American requisitions, juggling complex calendars across PST, MST, CST, and EST to lock in panels, technical assessments, and executive loops within 48 hours of recruiter hand-off.
- • Serve as the primary point of contact for every candidate from the moment they advance to interview stage until they receive an offer or decline; send branded confirmation emails, day-of reminders, and post-interview thank-you notes that reinforce the Freshworks culture of warmth and speed.
- • Coordinate both virtual and onsite interviews in our San Mateo headquarters: reserve rooms, set up Zoom/Teams links, configure Codility/HackerRank assessments, print welcome packets, arrange catered lunches, and greet candidates at reception to create a white-glove experience.
- • Partner daily with recruiters, sourcers, and hiring managers to forecast interview volume, flag scheduling risks, and propose alternative slates that keep requisitions moving even when calendars are jam-packed or executives are traveling.
- • Maintain 100 % data integrity in Greenhouse (ATS) and our proprietary Interview Ticket Management System; update candidate stages, interviewer feedback scores, and offer details in real time so dashboards used by Finance, HRBPs, and the CEO are always accurate.
- • Generate weekly pipeline reports and ad-hoc analytics for the Head of TA—highlighting time-to-schedule, interviewer decline rates, and candidate NPS—then recommend process tweaks that shave hours off each req.
- • Support high-volume university and diversity hiring events: reserve venues, ship swag, build event-specific landing pages, and follow up with hundreds of attendees to convert them into active applicants.
- • Collaborate with the TA Operations and People Operations teams to ensure seamless onboarding handoffs; schedule background checks, I-9 verifications, and first-day orientation sessions so new hires feel welcomed before they even log in.
- • Drive continuous improvement by documenting SOPs, creating Loom videos for new interviewers, and piloting Calendly or GoodTime.io integrations that reduce manual scheduling by 30 %.
- • Champion employer branding on LinkedIn and Glassdoor: invite satisfied candidates to leave reviews, post behind-the-scenes interview-day stories, and maintain a content calendar that positions Freshworks as the most candidate-centric SaaS company in the Bay.
- • Handle confidential candidate information with discretion, ensuring GDPR and CCPA compliance at every touchpoint.
- • Be the cultural ambassador who embodies Freshworks’ “Happy Workplaces” philosophy—smiling on Slack, jumping on impromptu Zoom calls to troubleshoot last-minute conflicts, and celebrating every offer acceptance with a GIF parade in #ta-wins.
