- • Own and manage HubSpot CRM including pipelines, lifecycle stages, workflows, automations, and reporting to ensure data integrity and operational efficiency.
- • Build and maintain dashboards tracking lead flow, conversion rates, pipeline performance, and sales activity to provide leadership with actionable insights.
- • Analyze sales and operational data to identify trends, bottlenecks, and opportunities for process improvement across sales, marketing, and business functions.
- • Improve lead management workflows from initial inquiry through proposal and closed business, ensuring seamless handoffs between marketing and sales.
- • Develop and maintain sales process documentation, SOPs, and internal playbooks to standardize operations and reduce manual effort.
- • Manage trade show lead imports, lead routing, and follow-up systems to ensure timely and accurate lead distribution.
- • Coordinate inbound lead flow between marketing and sales, monitoring lead attribution, quality, and campaign performance metrics.
- • Support website, Shopify, and digital marketing operational initiatives by ensuring proper integration and tracking within HubSpot.
- • Assist with AI-assisted content, marketing, and workflow automation projects to enhance scalability and reduce repetitive tasks.
- • Own operational projects from planning through execution, coordinating with vendors, logistics partners, and internal stakeholders.
- • Build and improve systems for project tracking, accountability, and communication to ensure initiatives remain on schedule and aligned with business goals.
- • Identify opportunities to automate repetitive tasks and streamline workflows across sales, marketing, and operations.
- • Serve as a trusted operational partner to leadership by providing proactive, strategic, and solutions-oriented communication.
- • Maintain clean, accurate CRM data through established processes that promote long-term data hygiene and system reliability.
- • Support ongoing marketing and business initiatives by aligning operational systems with strategic growth objectives.
- • Work during U.S. business hours (9AM - 5PM PST) to effectively support U.S.-based clients and internal teams.
- • Operate with limited direction in a growing entrepreneurial environment, demonstrating ownership, accountability, and adaptability.
- • Contribute to building scalable systems that reduce manual work, enhance visibility into business performance, and drive long-term operational success.
🎯 Requirements
- • 4-7+ years of experience in Revenue Operations, Sales Operations, Business Operations, Marketing Operations, or similar operational roles
- • Strong experience working inside HubSpot CRM, including building workflows, automations, and reporting dashboards
- • Experience supporting both sales and marketing functions in a growing entrepreneurial or small business environment
- • Advanced HubSpot CRM knowledge and strong reporting, analytical, and process improvement capabilities
- • Excellent organizational and project management skills with the ability to balance strategic thinking and hands-on execution
- • Ownership mentality, high accountability, and comfort operating with limited direction
