  • • Serve as the primary partner to Sales Management on strategic RFPs, managing end-to-end bid processes for complex global proposals
  • • Review, prepare, and process high-profile formal RFPs and RFQs, ensuring full compliance with customer requirements and internal guidelines
  • • Facilitate RFP kick-off and implementation calls with business owners, leadership, and cross-functional teams to align on scope and deliverables
  • • Coordinate collection of response materials from Sales, Contracts, Pricing, and other departments to ensure accurate and complete submissions
  • • Cross-reference product offerings to identify equivalent or alternative solutions that meet customer specifications while protecting margins
  • • Reconcile pricing, units of measure, and quantities across all documentation for final submission accuracy
  • • Create, manipulate, and analyze large datasets in Excel using advanced functions including V-Lookup, Pivot Tables, and complex formulas
  • • Analyze historical data and RFP requirements with account owners to assess profitability, compliance risk, and contract feasibility
  • • Ensure all RFP submissions meet strict deadlines and are error-free prior to delivery
  • • Monitor and triage the RFP/Bid mailbox, assigning tasks to appropriate team members and tracking progress
  • • Act as liaison and support for associates in the Coimbatore office managing daily bid workload
  • • Collaborate with the Contracts team to interpret legal and contractual language and advise on compliance implications
  • • Utilize RFP Evaluation Chat GPT tools to support proposal writing and content generation
  • • Recaps processed proposals to document win/loss status and capture lessons learned for future bids
  • • Record daily RFP and bid activity using Microsoft Teams for auditability and team alignment
  • • Assist in training new Bid Coordinators on RFP processes, Excel skills, and internal workflows
  • • Maintain advanced proficiency in Microsoft Word for formatting, proofreading, and integrating graphics into professional bid documents
  • • Demonstrate strong organizational and time management skills to prioritize multiple concurrent RFPs with competing deadlines
  • • Communicate effectively with internal stakeholders and external customers to gather information and respond to inquiries
  • • Apply business acumen to understand RFP terminology, procurement cycles, and financial implications of bid responses
  • • Work independently and collaboratively in a global, cross-functional environment while maintaining meticulous attention to detail

🎯 Requirements

  • • Bachelor’s degree or equivalent training in business, marketing, or sales, or equivalent work experience
  • • 3–5 years’ experience in bid or proposal management, sales, or procurement
  • • Advanced proficiency in Microsoft Excel (V-Lookup, Pivot Tables, data manipulation) and Microsoft Word (formatting, proofreading, graphics integration)
