- • Serve as the primary partner to Sales Management on strategic RFPs, coordinating end-to-end bid preparation and submission for global and high-profile proposals.
- • Review, assess, and interpret RFP/RFQ requirements and compliance guidelines to ensure accurate and complete responses.
- • Facilitate RFP kick-off and implementation calls with business owners, leadership, and cross-functional teams including Sales, Contracts, and Pricing.
- • Coordinate collection, consolidation, and validation of bid materials from multiple departments to meet strict deadlines.
- • Cross-reference product offerings to provide equivalent or alternative solutions that align with customer specifications.
- • Reconcile pricing, units of measure, and quantities across bid documents to ensure financial accuracy and compliance.
- • Create, manipulate, and analyze large datasets in Excel using advanced functions including V-Lookup, Pivot Tables, and complex formulas.
- • Analyze historical data and RFPs with account owners to protect margins and ensure contractual compliance upon award.
- • Monitor and triage the RFP/Bid mailbox, assigning tasks to appropriate team members and ensuring timely follow-up.
- • Act as liaison and support for associates in the Coimbatore office managing daily bid workload.
- • Collaborate with the Contracts team on legal and contractual language, providing guidance to ensure compliance and risk mitigation.
- • Utilize RFP Evaluation Chat GPT to support proposal writing and content generation.
- • Recaps processed proposals to track win/loss status and document key insights for continuous improvement.
- • Record daily RFP and bid activities using Microsoft Teams for transparency and auditability.
- • Assist in training new Bid Coordinators on RFP processes, Excel skills, and company-specific bid protocols.
- • Maintain meticulous attention to detail in all documentation, ensuring submissions are error-free and professionally formatted.
- • Demonstrate strong organizational and time management skills to prioritize multiple concurrent RFPs with competing deadlines.
- • Communicate clearly and professionally with internal stakeholders and external customers or vendors to gather information and respond to inquiries.
- • Apply business acumen to understand RFP terminology, procurement cycles, and financial implications of bid responses.
- • Work independently and collaboratively within a large, global organization to drive bid success and profitability goals.
- • Perform other duties as assigned to support the overall bid and proposal function.
🎯 Requirements
- • Bachelor’s degree or equivalent training in business, marketing, or sales, or equivalent work experience
- • 3–5 years’ experience in bid or proposal management, sales, or procurement
- • Advanced proficiency in Microsoft Excel (V-Lookup, Pivot Tables, data manipulation)
- • Advanced proficiency in Microsoft Word (formatting, proofreading, integrating graphics) and Microsoft Office suite
- • Strong experience working with RFPs and communicating with all levels of management
- • Proven ability to manage complex deadlines and coordinate cross-functional teams
