  • • Manage the end-to-end Return Merchandise Authorization (RMA) lifecycle across all TensorWave data center sites, ensuring efficient tracking, delivery, and return of defective hardware.
  • • Oversee monthly inventory reviews with Data Center RMA/Inventory Specialists at each site to maintain accurate critical spares stock levels and prevent operational disruptions.
  • • Ensure 100% accuracy in Data Center Infrastructure Management (DCIM) and ERP systems by validating physical layout, equipment placement, and asset status across all locations.
  • • Conduct quarterly audits of inventory cages and data center floors to confirm physical inventory matches digital records and maintain compliance with internal standards.
  • • Collaborate with hardware vendors to coordinate RMA processes, resolve ticketing issues, and ensure timely replacement of failed components.
  • • Enforce company privacy standards for defective media handling, including adherence to NIST 800-88 protocols for secure data destruction and decommissioning of storage devices.
  • • Maintain accurate, auditable records of all media handling activities across every data center site, ensuring compliance with data privacy regulations.
  • • Review and verify shipping and receiving documentation for all inbound and outbound hardware, correcting discrepancies and ensuring proper chain-of-custody tracking.
  • • Coordinate third-party vendor technician visits by ensuring sites are notified in advance and that vendor contact details are provided to local RMA specialists and data center managers.
  • • Oversee repair completion timelines and enforce strict adherence to safety, security, and Clean Room protocols during all hardware repair activities.
  • • Validate that all vendor repairs meet TensorWave’s quality standards and that replaced parts are correctly logged into inventory and asset management systems.
  • • Conduct quarterly reviews of procurement processes to ensure data centers remain adequately stocked with critical spare components and resolve any procurement bottlenecks.
  • • Provide guidance and support to Data Center RMA/Inventory Specialists and Data Center Managers on RMA workflows, inventory procedures, and compliance requirements.
  • • Maintain visual proficiency in identifying IT hardware components including CPUs, DIMMs, SFP types, Fiber connectors, DDR RAM generations, and form factor differences.
  • • Ensure all asset tagging, barcoding, and QR code systems are properly implemented and maintained for rapid audit reconciliation and asset tracking.
  • • Monitor compliance with international shipping regulations for cross-border hardware movement, including Commercial Invoices, AES filings, and ATA Carnets where applicable.
  • • Promote operational efficiency by applying 5S/Lean principles within warehouse and inventory cage environments to optimize space utilization and workflow.
  • • Serve as the primary liaison between data center operations, procurement, logistics, and hardware vendors to align RMA and inventory processes with business objectives.
  • • Uphold TensorWave’s standards for excellence, collaboration, and impact by driving continuous improvement in RMA and inventory management practices.

🎯 Requirements

  • • 2+ years managing staff
  • • 2+ years working with hardware vendors along with experience utilizing their ticketing and RMA processes
  • • 2+ years in inventory management, logistics, or warehouse operations, preferably within a high-tech or data center environment
  • • Strong understanding of shipping/receiving procedures and RMA workflows
  • • Ability to identify various IT components (CPUs, DIMMs, SFP types, Fiber connectors)
  • • Proficiency with inventory management software and ticketing systems (e.g., ServiceNow, Jira, NetBox)
