We are seeking a meticulous and proactive Sales Tax Analyst to join our dynamic team and play a pivotal role in ensuring our financial compliance and operational efficiency.
- • As a Sales Tax Analyst, you will be instrumental in maintaining and optimizing our sales tax automation platform, ensuring seamless compliance with ever-evolving sales tax regulations. Your responsibilities will span the entire sales tax lifecycle, from initial registration and ongoing compliance to accurate customer billing and efficient return processing. This role is critical to our order-to-cash workflow, directly impacting customer satisfaction and financial accuracy.
- • You will report directly to the Corporate Controller and collaborate closely with our accounting, billing, and customer service departments, acting as the subject matter expert for all sales tax-related matters. Your expertise will be crucial in navigating the complexities of sales tax across various jurisdictions, safeguarding the company against compliance risks and financial penalties.
- • A significant portion of your role will involve the administration and optimization of our sales tax automation platform, primarily Avalara. This includes managing automated registration processes, understanding the intricate billing transaction workflows between our ERP system (NetSuite) and billing platform (Stripe), and meticulously managing the sales tax exemption workflow. You will be responsible for identifying and resolving processing errors, working collaboratively with platform support staff to ensure the system functions flawlessly.
- • Furthermore, you will take ownership of system administration responsibilities within the sales tax platform, including user ID management, access rights, and deprovisioning, ensuring robust security and control.
- • Maintaining active state sales tax nexus registrations is a core responsibility. You will proactively monitor our nexus footprint, ensure all necessary registrations are current, and diligently follow up with tax authorities on any outstanding registration issues, thereby safeguarding our ability to conduct business legally across all relevant states.
- • Customer outreach will be a key focus, particularly in managing the sales tax certification process as part of customer onboarding. You will proactively engage with both historical and newly onboarded customers to obtain essential sales tax exemption certificates. Your efforts will be measured by key performance indicators (KPIs) such as the percentage of customers with valid sales tax exemption certificates on file. Additionally, you will be the primary point of contact for resolving customer disputes related to sales tax charges, processing refunds accurately and efficiently when necessary, ensuring a positive customer experience.
- • Data validation within our order management system is paramount. You will meticulously review sales order transactions, analyzing them by state, customer, and within our accounting ERP (NetSuite) and billing platforms (Stripe). A deep understanding of sales tax nexus thresholds in each state will be essential to ensure that all transactions are processed completely and accurately. You will proactively identify and address any transaction processing issues, collaborating with the sales tax platform support team for swift resolution.
- • Processing sales tax returns accurately and on time is a critical function. You will prepare sales tax returns using our designated platform, meticulously reviewing each return for accuracy and completeness before submission. Verification against cash bank statements will ensure timely payment of all sales tax liabilities. You will also collaborate effectively with any third-party providers involved in external sales tax return processing.
- • Engagement with sales tax authorities will require your attention to detail and professional communication. You will review all communications from tax authorities, respond promptly and accurately to all inquiries, and coordinate the company's response to any sales tax audits, ensuring a coordinated and compliant approach.
- • Finally, you will contribute significantly to our reporting requirements, maintaining the accuracy of the order-to-cash process and completing detailed workpaper documentation for the monthly close process. Your work will ensure that each customer is billed accurately and that invoices are collected in a timely manner. You will also be involved in coordinating the reporting of key SaaS financial metrics, such as bookings, MRR, and ARR, and discussing these with management monthly. Your contributions will extend to the broader monthly financial close process, including performing reconciliations and preparing essential schedules. Furthermore, you will manage and reconcile ASC 606 revenue recognition policies, ensuring compliance with accounting standards.
