  • • Coordinate service visits in accordance with site schedule, manage associated standards, parts, and IT requests for successful service completion.
  • • Support vendor hosting, manage permits, and assist service engineers during service visits.
  • • Serve as the first point of contact for customers for scheduling or operational queries.
  • • Perform daily administrative duties, including quotation requests, purchase orders, and cost reconciliation.
  • • Track out-of-scope costs and report regularly to account managers.
  • • Attend operational calls, customer meetings, and manage high volumes of emails.
  • • Manage customer assets, ensuring accurate inventories and managing new instrument additions, removals, and changes.
  • • Monitor performance metrics to ensure maintenance and repair requests are completed within agreed timeframes with minimal disruption.
  • • Work with scheduling applications, such as SAP CRM System and SmartSheet.
  • • Collaborate with team members, customers, and stakeholders to achieve customer satisfaction.
  • • Schedule vendor inductions, comply with customer vendor management requirements, and ensure risk assessments, training records, and documentation are in place.
  • • Manage repair requests to minimize instrument downtime.
  • • Proactively monitor schedule adherence to planned preventative maintenance.
  • • Manage shipment and tracking of off-site instruments.
  • • Maintain high standards of data management, including inventory, service metrics, schedules, and costings.
  • • Collect and upload vendor service reports onto customer CMMS software and close associated work orders.
  • • Adhere to customer gowning and PPE requirements in clean room areas and laboratories.

  • • Third-level qualification, preferably in science.
  • • Ability to be a key team player, take ownership, and help colleagues with a positive attitude.
  • • Ability to manage sudden changes in priorities.
  • • Proven ability to problem-solve and multi-task.
  • • Strong planning, organizational, and time management skills, with the ability to prioritize tasks and meet deadlines.
  • • Excellent communication skills, with effective interpersonal and cross-functional collaboration skills.
  • • Ability to work independently with limited managerial input.
  • • Knowledge of planning and administrative tools, preferably SAP/Smartsheet.
  • • Proven fluency in English (verbal and written).
  • • Willingness and enthusiasm to participate in ongoing training and development.
