- • Maintain accurate and up-to-date financial books using QuickBooks Online for a U.S.-based business
- • Perform monthly bank, credit card, and balance sheet account reconciliations independently
- • Manage accounts payable by processing vendor payments and ensuring timely disbursements via Bill.com
- • Prepare and send customer invoices, monitor accounts receivable, and follow up on outstanding payments
- • Record payroll and contractor payments accurately in the accounting system
- • Review all financial transactions for correct coding, classification, and compliance with U.S. bookkeeping standards
- • Assist with the monthly financial close process, ensuring all entries are complete and accurate
- • Prepare basic financial reports including Profit & Loss statements and Balance Sheets
- • Investigate and resolve accounting discrepancies, identifying root causes and implementing corrective actions
- • Maintain organized digital financial records and supporting documentation for audit readiness
- • Communicate directly with company management and external CPA to provide financial updates and resolve queries
- • Work within a part-time schedule of 5–10 hours per week, with increased workload during mid-month invoicing and month-end close periods
- • Ensure all financial activities are completed reliably during critical close windows
- • Operate independently with minimal supervision while maintaining high standards of accuracy and timeliness
- • Use Bill.com for payment processing and integrate seamlessly with QuickBooks Online workflows
- • Leverage Microsoft Excel and Google Sheets for data analysis, reporting, and record-keeping as needed
- • Adapt to the needs of a contractor-heavy business environment typical of staffing and professional services sectors
- • Maintain clear, professional written and verbal communication in English with U.S.-based stakeholders
- • Demonstrate proactive problem-solving by anticipating issues before they impact financial reporting
- • Commit to long-term, ongoing part-time engagement rather than temporary or transitional employment
- • Align work hours to allow for some overlap with U.S. Pacific Time business hours to facilitate communication
🎯 Requirements
- • 5+ years of bookkeeping experience supporting U.S. businesses
- • Advanced QuickBooks Online experience
- • Strong understanding of U.S. bookkeeping principles
- • Experience completing monthly reconciliations independently
- • Experience managing both accounts payable and accounts receivable
- • Excellent attention to detail and strong organizational skills
