- ⢠Serve as the CEOās primary execution integrator across three distinct business portfolios: luxury Caribbean vacation rental asset management, home services/insulation, and Boston real estate development.
- ⢠Own and manage the CEOās calendar, weekly planning rhythm, and daily execution check-ins to ensure alignment and momentum across all business units.
- ⢠Translate unstructured CEO inputāābrain dumpsāāinto clear, actionable tasks with assigned owners, deadlines, and escalation protocols to prevent critical items from slipping.
- ⢠Drive cross-business execution by unifying strategic plans, identifying and removing operational blockers, and maintaining forward momentum during rapid pivots.
- ⢠Maintain and update a weekly portfolio scorecard tracking marketing performance, sales KPIs, project milestones, emerging risks, and next actions for each business line.
- ⢠Partner directly with senior operators, sales leads, and deal partners to enforce accountability, track commitments, and ensure deliverables are met on time.
- ⢠Coordinate communication and workflows across multiple time zones, including St. Martin-based ground support teams and remote virtual assistants.
- ⢠Support light investor and client communicationsāfocused on owners and investors, not guestsāwith professionalism and discretion.
- ⢠Utilize project management tools (ClickUp, Asana) and reporting systems to maintain visibility into progress, dependencies, and outcomes across all portfolios.
- ⢠Operate as the central hub for cross-functional coordination, ensuring seamless handoffs between operations, sales, and finance functions.
- ⢠Leverage CRM platforms (HubSpot, GoHighLevel, Salesforce) and automation tools (Zapier, Make) to streamline workflows and reduce manual effort.
- ⢠Apply AI tools (e.g., ChatGPT) for writing, summarization, and task automation to enhance efficiency and accuracy in communication and documentation.
- ⢠Maintain rigorous discipline in KPI tracking, data entry, and reporting standards to ensure leadership has real-time visibility into business health.
- ⢠Adapt quickly to shifting priorities and emerging needs across three complex, fast-moving industries without losing operational clarity.
- ⢠Ensure all remote collaboration tools (Slack, Zoom, Google Workspace) are used effectively to sustain high-bandwidth communication with distributed teams.
- ⢠Proactively anticipate needs before they arise, reducing the CEOās cognitive load through structured systems and preemptive problem-solving.
- ⢠Document processes and institutionalize best practices to scale operations as the company grows.
- ⢠Maintain strict confidentiality regarding sensitive business, financial, and strategic information across all portfolios.
- ⢠Deliver high-quality outputs under tight deadlines with minimal supervision, demonstrating ownership and initiative in all responsibilities.
šÆ Requirements
- ⢠5+ years in Chief of Staff, Senior Executive Assistant, or Operations Partner roles supporting a founder or CEO
- ⢠Proven ability to run end-to-end execution systems: translating priorities into plans, tracking progress, and ensuring completion
- ⢠Comfort enforcing accountability with senior operators and partners through clear, confident follow-up
- ⢠Non-negotiable: Prior remote work experience with fluency in Slack, Zoom, Google Workspace, Asana/ClickUp, and similar tools
- ⢠Experience working with US or UK-based companies
- ⢠Strong project management and KPI reporting discipline
